How do I run a report that shows the social security numbers for all employees?

I'd be glad to help you get a report that you need, Elise.

 

You can run the Employee Contact List report. It has a column that shows the Social Security Number for all employees. Here's how:

 

  1. Go to the Reports menu.
  2. Scroll-down to Employees and Payroll.
  3. Select Employee Contact List.

I appreciate you for all you've done on your end to pull up the report. However, you can still pull up the report by following the steps mentioned above by my colleague.

 

On the other hand, if the report is not working, have you encountered any errors?

 

If so, it would be great if you could provide us with a screenshot of the error you've encountered.

Is there a way to get full SS #s?

I need to file MN UI report and need full SS#s...

@Raymundo  The recommended report does list full social security numbers.

 

The person that provided the example image just partially overlaid the social security numbers with a white square, probably with information security in mind.

 

Though I have no idea why the MN Unemployment report wouldn't automatically pull the required information to a printable report, if only for use in entering data electronically. Every other state I've seen an unemployment report for in QB does that.

I can certainly understand how an ability to run a report showing full employee social security numbers could be useful and have submitted a suggestion about it as of today.

 

You can submit your own feature requests while using QuickBooks.

 

Here's how:
 

  1. In the top menu bar, go to Help, Send Feedback Online, then Product Suggestion....


     
  2. Choose a Type of Feedback and Product Area (optional) from your available drop-down menus.


     
  3. Enter any suggestions/feedback in the Here is my suggestion: field.


     
  4. If you'd like, include your name/email in the My name is: (optional) and My e-mail address is: (optional) fields.


     
  5. Select Send Feedback.

@ZackE  This entire thread is filled with your coworkers showing the report in QuickBooks that already does show full social security numbers for all employees.

Is there a version of these instruction for Quickbooks Online? I am following the instructions for the Employee Contact List report and there is no option to view SSN.

So, I figured it out by myself, no help from this thread.  It is easy, not sure why QB people can't answer this simple question.

Reports > Employee Details > On the SSN click "View", enter code > Customize to filter only BDay and Tax Info > Download Report

For QBO:

Reports > Employee Details > Click "View on SSN" > Customize Report to show BDays and Tax Info > Download

At least gives SSNs in a spreadsheet, still not single line format but it works.

Hello, BWaggo.

 

As part of our commitment to safeguarding sensitive information, I wanted to share some important updates regarding the display of Social Security Numbers (SSNs) on employee Forms.

 

You can generate a customized Employee contact list report in QuickBooks Online (QBO) showing the last four digits of your employee's SSNs. The report does not show the complete digits of this data due to privacy and security regulations. You can follow these steps:

 

  1. Go to Reports. Select Employee Contact List report.
  2. Click Switch to classic view.
  3. Select Customize, then under Rows/Columns, tick the SSN checkbox.
  4. select Run report.
  5. Click Save customization once done.

I'd also like to add that to address the growing concern for identity theft, the IRS has introduced regulations allowing employers to truncate employees’ SSNs on copies of Forms W-2 voluntarily. Truncation involves displaying only the last four digits of the SSN, such as XXX–XX–1234 or *–1234.

 

At QuickBooks, we take data privacy seriously while ensuring compliance with IRS guidelines. However, I encourage you to coordinate with your employees to verify their full SSN information.
