Every time I run a P/R update the Summarize P/R data file in excel reverts to a file that includes sample data. Contacted QB twice about it. I know how to make it work but should not have to regenerate the file every time an update is completed.
I was on QB Desktop Pro 2022 and this morning updated to QB Desktop Pro 2023 and still have the same issue.
Also, does anyone know when forms will be updated? Currently 2022 form are pulling and I need to run the Q1 2023 forms (941, FL & GA unemployment, etc.)
RE: Every time I run a P/R update the Summarize P/R data file in excel reverts to a file that includes sample data.
Yes, that's how it works. The template contains sample data before you run the reports, and then that data is replaced with your data.
If you mean that last bit isn't working - that the reports don't update - then that's not normal. In that case are you getting an error message or see other issues when you try to update the reports?
After getting payroll updates, forms should be updated to the newest versions that are available from Intuit. That noted, they've been rather last minute about it lately. Not sure why.
The report runs, the first few tabs appear to be correct. The State Wage listing pulls sample data. I do not get an error message. I have to go in manually delete the QB_Payroll_Link.xlt file. Close QB, reopen which regenerates the file. At that point it seems to run correctly. Then if I run a P/R update the file reverts back to the file that pulls Sample data to the State Wage tab.
This did not start happening until this year. I had Desktop Pro 2022 up until today when I upgraded to Desktop Pro 2023 which doing the exact same thing. At some point QB must have done an update that is wonky and me having to manually correct every time I do a P/R update is not a good thing.
Then, here we are at March 15 and the 2023 quarterly report form for both State and Fed have not been updated. State unemployment is due 4/1.
It's good to see you here today, VickieM.

Thank you for the response, however...I have run reports to verify all my data. Problem is when I go to prepare either the Form 941 or FL UCT-6 I get a message that P/R forms have not been updated for 2023 and that I cannot file using the forms in QB.
I did see the the Federal Form 941 was updated by the government in March. My question is when is the next update so that State & Federal Quarterly returns will be on the correct form?
Hi there, @VickieM.
I’ll be delighted to address your query about filing Federal Form 941 in QuickBooks Desktop (QBDT).
My colleague, JaeAnnC, is correct about when was the payroll update released. However, the reason why you’re getting an error upon filing these forms is that the payroll update only includes the wage limit for state unemployment insurance (UI). Thus, form updates in the application are not yet included. Moreover, you can file the form starting from April 1st to 30th.

BigRedConsulting...just a follow up
Quickbooks did call me. I was not particularly impressed with the answer. Basically put the problem in my lap.
Apparently there is an open item concerning the QB_Payroll_Link.xlt file. There is an issue that when the P/R update is run that file reverts back to the unusable version that contains sample data. I was told that I would need to contact Microsoft that the issue is something to do with Microsoft and QB.
In my humble opinion...IF it is indeed a MS update that has caused this issue then Quickbooks should identify the update that caused the problem, post it so users can remove that update until MS & QB can find out what is going on.
Just my rant for the day
As far as the quarterly Federal & State Form updates go I was told to just check for updates daily. Again, doesn't seem like the best answer but I guess as long as the forms are updated before April I will be ok.
I have the same problem with State Wages and Quarterly tabs on the excel report with 2023 upgrade.
I reported it to QB, but no resolution yet.
Replacing the template with Big Red Consulting fix does not work for me.
How do you get a 'good' .xlt file?

This happened to me as well! I just got off a one-hour+ call with support and they were unable to resolve it. I actually discovered (during the call... by google-ing the random employee names) that the data is from a QB sample company file. I did tell them that the problem started mid-January. I'm surprised that QB is so unaware of the issue and hasn't issued a fix for it yet.
Same with me! I have the same issue with the State Wage Listing and Quarterly Excel reports - only the QB sample data employees show up! Spent several hours on the phone and on-line with Quickbooks and still no solution to the problem! Tried the Big Red Consulting fix - but it doesn't work with QB 2023?? Anyone have any other ideas?
BIG RED CONSULTING:
Do you have a fix for Quickbooks Pro Plus 2023. Same excel files show only QB sample employees.
Thank you!
How do you manually delete that file and get a good copy?
I appreciate you for joining here, bweber. I'll walk you through manually deleting the QB_Payroll_Link.xlt file.
We have to go to the C drive section to eliminate this file. The steps will walk you through the complete steps.
Then, reopen QuickBooks Desktop and ensure you have the latest payroll update. Navigate to the Payroll section within QuickBooks and check for updates to run a full payroll update.
Afterward, you can get a good copy by generating the State Wage Listing report. This report should provide an updated comprehensive overview of state-specific wage information, ensuring accuracy and completeness for your payroll records.
If it still reverts to the file that pulls sample data, please consider giving us s short call. Our Payroll Support Team will investigate to ensure the accuracy of your payroll data. Go to the Help menu and select QuickBooks Desktop Help F1.
Moreover, I recommend reading an article that can assist you in personalizing your payroll reports and simplifying the reporting process: Customize Payroll and Employee Reports.
