Vacation used YTD field

For each employee record, in the Payroll tab / Sick and Vacation, it looks like a number was typed into the Hours Used in 2023.  In fact when looking at 2022 payroll stubs, the same thing happened.  If I delete that number out, will Quickbooks calculate & pull the correct number into that field.  Or do we have to manually calculate & type the correct number into that filed for every payroll?  Thanks!

Hi there, @vet03. I'll share some steps to help you fix the vacation hours of your employee in QuickBooks Desktop (QBDT).

In QBDT, the vacation may not accrue correctly for several instances, to fix this let's ensure your employee does not yet hit the accrual limit. To verify, let's check your setup:

  1. Navigate to the to Employees then select Employee Center.
  2. Next, double-click the name of the employee.
  3. Then, select Payroll Info and click Sick/Vacation.
  4. Verify the Maximum number of hours to accrue and adjust if needed.
  5. Once done, select OK twice.

To know more details about this, you can check this article: Fix incorrect sick and vacation accruals in QuickBooks Desktop Payroll.

Vacation used YTD field

It's accruing correctly, but the Used YTD is incorrect.  Someone has typed 192 used YTD in that field, which is incorrect.  If I delete that 192 & leave the USED YTD field blank, will QB calculate it correctly?

Thanks for checking back with us, @vet03.

I ran a test in my sample company file to see if QuickBooks would automatically make the change. This did not work on my end. However, you can give this a try on your side. Please be sure to create a local back up before making any changes to the company file.

In the meantime, feel free to browse through our help guides for more details about sick/vacation pay:
