Hi there, pam311.
Thank you for visiting the QuickBooks Community. I'll be sharing details on how filing tax forms work in QuickBooks Desktop. Then, ensure you'll be able to see the history of the filed forms.
When filing W-2's in QuickBooks automatically saves them inside Saved Filings sections and you should see the W2/W3 filed forms from there. With this, it could be that you click the Save and close instead of Submit Form button and that's the reason W2/W3 filing not showing under e-filings history. To confirm this one, I suggest going to the Saved Filings tab and find the W2/W3 to review or verify if you already sent the file.
Additionally, if you're still unable to see the forms there, the option to automatically save the form wasn't selected. With this, you'll have the option to reopen the actual form inside QuickBooks to print the copies.
Here's how:
- From the File Forms tab, open the Annual Form W-2/W-3 - Wage and Tax Statement Transmittal.
- In the Select Employees for Form W-2/W-3 box, click the Print/E-file button.
- Select the Print button when a new box appears.
You can click this article to view different details on how W-2s works using Enhanced payroll: File your state W-2s with Quickbooks Desktop Payroll Enhanced.
If the issue persists, it might be you've chosen the wrong company file, and that is the cause of why you can't see the filed forms. I suggest making sure that you utilize the right file so you'll be able to view the W2/W3 in history.
Lastly, you may refer to this article to see steps on how you can upload the w2s so your employees can view their form in QuickBooks Workforce: File your W-2 forms.
