We are using "Quickbooks online Payroll Core" but qbo does not generate/file NC-5 withholding return for us. How to prevent NCDOR from sending us unfiled notice?

To prevent the NCDOR from sending you an unfiled notice regarding the NC-5 withholding return, you'll need to prepare and file it manually, William.

First, generate a Payroll Summary by Employee report to retrieve data from QuickBooks before manually submitting:

  1. Log in to your QBO account.
  2. Go to the Reports section from the left navigation menu.
  3. In the search bar, type Payroll Summary by Employee and select the report.
  4. Set the date range for the report as needed.
  5. Click Run Report to generate it.
  6. Review and Print the report for your NC5 filing.

After this, visit the NCDOR website and download the NC-5 Withholding Return form. If you're submitting manually, ensure all entries on the physical form are accurate before mailing it to the specified NCDOR address. On the other hand, for electronic submission, log into the NCDOR's e-filing system, input the necessary information from your QuickBooks report into the online form, double-check for accuracy, and then submit.

FathA, thanks for your reply.

but shouldn't qbo file/prepare the NC5 for us?  according to the official intuit payroll forms list (link below), it shows that "Quickbooks online Payroll Core", which is the service we currently paid for, should and would file "State WH (withholding)" forms for us?

We paid extra $12/month for this extra NC state.  If qbo does not do this, what did this $12/month pay for?

Thanks!

We are using "Quickbooks online Payroll Core" but qbo does not generate/file NC-5 withholding return for us. How to prevent NCDOR from sending us unfiled notice?

Yes, QuickBooks Online Payroll Core handles the filing for state taxes, @william75. However, NC-5 is a payment coupon used for actual check payments made to the state for both Quarterly and Monthly deposit frequencies.

As QuickBooks makes payments through ACH Credit, Form NC-5 is not automatically generated. Thus, if you receive a notice for a payroll tax filing, you can forward it to us so we can provide the required proof of payment, filing, or correction.

Here's how you can send in your tax notice:

  1. Handwrite your Federal Employer Identification Number (EIN) on the front page of your tax notice.
  2. For two or more notices, you need to send them separately.
  3. Send your notice to us.

Here is an article you can read for the complete details of sending your notice to us: Send in your payroll tax notice.

If you want to change your payroll tax filing or payment schedules, refer to this article for the detailed steps: Set up or change your payroll tax filing or payment schedules.

Ethel_A, thanks for your feedback.

You wrote, "NC-5 is a payment coupon used for actual check payments made to the state for both Quarterly and Monthly deposit frequencies."  We are not sure if this is 100% correct.

Here is the link for the actual NC-5 form and instructions:

https://eservices.dor.nc.gov/vouchers/NC5_nonpersonalized.pdf

Because the NC-5 form itself says clearly, "This report must be returned even if no tax has been withheld."  So this is more than just a payment coupon.

For the peace of mind, why can’t qbo just file this like that of other states e.g. CA DE9 instead of passively dealing with it when receiving unfiled notice from the government agency?

Thanks!

Any feedback to our last reply please?

Again, this NC-5 is not just a payment coupon but "This report must be returned even if no tax has been withheld." per the official NC instructions.

Thanks!
