We received a partial refund back on an insurance payment. How do I log this refund in Quickbooks online?

I can guide you on how to record partial refunds in QuickBooks Online, @kimmers_41.

 

If you receive a refund check, you can create a deposit through the + New icon to increase your bank balance.

 

Here's how:

  1. From the + New icon, and then choose to Bank Deposit.
  2. In the Account drop-down, select the account where you got the refund.
  3. In the Add funds to this deposit section, fill out the following fields:
    • In the Received From drop-down, select the vendor who gave you the refund.
    • For the Account, select the expense account you used to pay the insurance. If you want to tie the refund to the vendor credit, use Accounts Payable.
    • For the Payment Method, enter the method your vendor used to refund you.
    • Enter the Amount of the refund.
  4. Hit Save and close.

Please note that the way to enter a refund depends on how you record your purchases. If you’re not confident doing the steps, we always recommend seeking help from an accountant for further guidance. We can also help you find an accountant here.

 

If you've processed a bill for this transaction, you'll need to create a vendor credit to make sure the credits hit the expense account you use for this vendor. 

 

To do that:

  1. Click the + New icon and select Vendor credit or Receive vendor credit.
  2. In the Vendor drop-down list, choose your vendor.
  3. Enter the Category details or Item details to record the purchases with this vendor.
  4. Select Save and close.

credit.PNGOnce done, you may deposit the refund so it can be applied to the bill. This way, you can keep your vendor expenses accurate.
