Will QB have the Colorado Family and Medical Leave Insurance payroll deduction available Jan 1, 2023?

I'm using QB Desktop Pro Plus 2021. We're a small company with just 4 employees and are therefore are exempt from the CO Med Fam Leave tax. Issuing paychecks for the 3 employees hired prior to 1.1.23 has not presented any problems. The Co Med Fam tax isn't being collected, nor is QB insisting I collect it. However, QB will not allow me to set up a new employee (our first hire in 2023) because The CO Family Medical Leave is not being collected. The on screen instructions say to contact QB if we're exempt, but the provided link just goes to QB's web page where I've not been able to find any instructions that will allow me to exempt our company from this tax. I get stuck in a never ending loop between the two messages below. (One suggests I "complete a payroll run for this employee for the year 2019." Huh? He wasn't an employee until 2023!)  Was on the phone for an hour with Assisted Payroll. The associate there also couldn't figure out how to escape this looping blockage of "collect taxes" message and "contact QB if exempt".  I have an appointment on Friday for an Assisted Payroll Onboarding meeting which is estimated to take another hour and a half of my time.

In QuickBooks Desktop (QBDT), there are different filing and payment methods depending on your state tax. In your state,  you can create a State Unemployment Insurance (SUI) file in QuickBooks and upload it directly to the state agency website. 

 

Here's how to create an SUI file to upload your state: 

 

  1. Go to Employees, then Payroll Tax Forms and W-2s, and select Create State SUI E-file.
  2. Click Continue twice. 
  3. Select your state from the Select State drop-down list. 
  4. Click Get QuickBooks Data, then select OK.
  5. Correct any errors or add missing information to the file.
  6. On the Add-Ins tab, locate the QuickBooks Payroll State SUI E-file drop-down, and select Start Interview.
  7. Select the I understand that I must review my data and answer the following questions option, and select Next.
  8. Follow the prompt until you reach the End of Interview window, and select Create State File.
  9. Select Yes to save the Excel workbook for your records.

out of no where you guys just made a payroll correction without any notice to give to employees and just took money off their paychecks.......not cool

 

you gave no warning or explanation just deducted it off

you treat us like we don't matter, you put us on hold for 42min and 32 sec and say you are still looking into it. We use you guy for quickness because we are running a business, we don't have time to wait around to find out about a deduction you did that you have no idea why its on there

told i cannot speak to their superior and the superior won't be able to help me, basically i have no options but to deal with them, no wonder why people stop using you, you guys are horrible with customer service

Did you ever get an answer or fix for the automatic payroll correction that came out due to CO FAMLI? I just set up our small nonprofit and the org is responsible to pay for the first quarter, even though they are under 9 employees because they didn't deduct from previous payrolls this year. The CO Family Medical Leave Act states that you aren't allowed to do backup withholding. In response to setting up FAMLI last payroll, QBs is doing a payroll correction on each employees check so they "pay back" the org for the first quarter. There is no way to delete this payroll correction and I have tried in 3 different places. Of course hold times are extremely long today and I have never actually gotten a real answer when I call in.

I know you've called out for support already, but they have the tools to pull up your account and guide you further through this process. They may create a ticket for investigation if needed.

You can change your rates for Colorado FAMLI from the Payroll settings screen.

 

There's a few things you'll want to be aware of beforehand:
 

  • Your total contribution rate is 0.9% and is paid on the first $160,200 in wages.
  • Your employees pay 0.45% (or 50% of the 0.9%). Your business may choose to pay some or all of an employee portion as a benefit to them.
  • If you have 10 or more employees, your business pays 0.45%. In the event you have 9 employees or less, you don’t pay an employer portion.

 

Here's how to edit/add rates for Colorado FAMLI policies:
 

  1. Use your Gear icon, then go to Payroll settings.
  2. From the Colorado tax section, click Edit, then Create Policy.
  3. Enter your number of employees used to determine the rate and your CO FAMLI Agency ID.
  4. Hit Define Rates.
  5. Enter or change the Policy Name if necessary.
  6. Choose an effective start date if one hasn't been set yet.
  7. Enter your percentages for yourself and employees. For example, if you want to pay 50% of an employee's 0.45% portion (you pay 0.225% and the employee pays 0.225%), enter "25" in your Employer box. This amount will be added automatically to the Employee box as well.
  8. Select Save.

 

Next, you'll want to make sure you've added your policy to employee profiles.

 

In the event you've processed payroll(s) before setting your rate, Intuit will automatically catch you up when the next payroll is ran.
