Workforce access for employee

Employees are struggling to log into their workforce account linked to our quickbooks online payroll because they already have an account from before we transferred from intuit online payroll. How can I help them to access the new QBO workforce?

Allow me to share a few information about logging into QuickBooks Workforce, Tobybat.

Are they getting an error message when trying to log in?

You'll want to make sure that your employees accept the invitation to use the existing QuickBooks Workforce account so they can access the current account. If your employees are already set up, you can invite them to view their paystub and W-2s.

  1. Select Payroll, then Employees.
  2. Select Invite to Workforce.
  3. Check the boxes next to the names of the employees you want to invite and enter their email addresses.
  4. When finished, select Send invitations.

Your employees will receive an email with a link to set up and use QuickBooks Workforce to add their personal info and view their pay stubs and W-2s.

Once an employee accepts the invitation in the email, they’ll be able to create their own Intuit account. This allows them to manage their own user ID, personal settings, and security info.

My employees get an error message.  "Looks like you don't have workforce.  There's no account attached to the email you entered.  Contact your employer to create one for you."  I have resent the invitation multiple times.  This has happened to multiple employees.  We use QuickBooks Online.

Hello, heidi51.

Thanks for joining this thread. I want to make sure your employees are able to access their QuickBooks Online Workforce accounts.

I recommend having the employees double check to make sure they have their Workforce accounts set up. This can be done in a few steps. Here's how:

1. Upon receiving the invite, have them open the email, then select Create account.
2. They will then be able to create an Intuit account with their email and a password. If they already have an Intuit account such as a previous QuickBooks Workforce or TurboTax account, sign in with that email address and password.

The following article provides additional info about setting up your QuickBooks Workforce account.

Please let me know how things go afterward. I'll be here if you have any other questions.

My invite was sent while I was out of office.  I was not aware there was a time limit on response.  I tried to start yesterday and was told it was expired.  I reached out to my HR department and they said they could not resend invite and to reach out to intuit myself.  Somebody please help me.

Hi there, teaston25.

Thank you for your patience regarding this matter. Invite links expire for security purposes, and in most cases your company’s HR or account admin can simply resend a fresh invite. Since HR said they can’t, the best next step is to have your payroll or primary admin contact QuickBooks Online (QBO) live support, as they have the tools to help resend or recreate your invite. QBO Support can’t send an invite directly to you, but they can guide your admin to get you access quickly.

To reach them, follow these steps.

1. Go to the Help menu, then click the Search tab.
2. In the Search box, type Contact Us.
3. Click Contact Us and hit Callback
