How do you print W2's on preprinted forms?

I purchased pre-printed W2's that are compatible with Quickbooks online, but I cannot figure out how to print them.

I can help you print the W-2 forms

 

Please follow these steps:

  1. Click on Taxes.
  2. In the Payroll Tax page, click on Annual Forms.
  3. Select W-2, Copies B, C, and 2.
  4. Select the period.
  5. Click on View.

If the W-2 form is showing 4-parts, this is currently an on-going issue. Our engineers are still working on fixing it so you can print the 3-parts form. For now, we recommend printing the form on a plain paper.

I’ve check here on my end and found the investigation ticket is already been tag as resolved. 

 

Since you’re still experiencing this issue, I recommend contacting our Support team. They have the tools to securely check your account and investigate the reason why you’re unable to print the 3-parts form.

 

You can follow these steps to reach out to them:

 

  1. Go to the (?) Help menu. 
  2. Choose the Talk to a human option (type it again if prompted).
  3. Select I still need a human.
  4. Click the Contact us.
  5. Enter the details of your concern and proceed with Let's talk.
  6. Choose either Get a callback or Send a message (if you prefer to chat). 

 

You can also check this link for more details and ensure to review their support hours to contact them at the time that is convenient for you:  QuickBooks Online Support.

 

In the meantime, you’ll want to update settings to printing on plain paper. This way, you can still provide a copy to your employees.

 

Additionally, you might also want to invite your employees to the Workforce. This way, they can view their pay stubs and W-2’s online.

I paid for compatible preprinted forms with Quick Books. How long will this take t fix? If not fixed in time can we receive a refund?

How do you print W2's on preprinted forms?

I'm here to help ensure you're able to print W-2's in QuickBooks Online (QBO), jackietreen.

 

The IRS requires the use of perforated paper for any Employee Copy W-2 that is printed on plain paper. You need to print these blank paper W-2 forms using black ink.

 

Blank perforated paper provides a professional look and guarantees that forms are easily separable by your employees. Perforated paper works with matching envelopes, making it easy to mail employee copies.

 

In QBO, you need to verify your printing settings. Let me show you how:

  1. Go to Settings ⚙, then choose Payroll settings under Your Company column.
  2. Click Form Printing under Preferences.
  3. Choose how you want to print W-2 forms.
  4. Click OK.

Once done , here's how to print your W-2 forms:

 

  1. Click the Taxes menu, then Payroll Tax.

  2. In the Forms section, select the Annual Forms link.
  3. Choose either All Employees or a specific employee name from the drop-down menu provided.
  4. Select the W-2, Copies BC & 2 link.
  5. Choose the appropriate period from the drop down menu.
  6. Select View to launch Adobe Reader in a new window.
  7. Select the print icon on the Reader toolbar.
  8. Click Print again.
