It's nice to have you here on the Community page, @wwh.

When upgrading to a newer version of QuickBooks Desktop, you also need to update your file so you can keep using them on the newer version. After the upgrade, you won't be able to open the file in the original version of QuickBooks.

If you're trying to open the file to the older version, be sure to have a backup of it before the update and restore it.

To restore a backup of your file:

  1. Tap Open or Restore Company from the File menu.
  2. Click Restore a backup copy and then Next.
  3. Choose Local Backup and then Next.
  4. Browse your computer for your backup company file. It should look like this: [Your company name].qbb.
  5. Select a folder to decide where to save your restored company file. Then select Open.

What if you've already updated - can I still get my backup restored somehow?

I tried to restore the back up copy, and then go back into the company file.  It says the file cannot open because it has been updated to a newer version.  Then it says it's not restored yet.

@Janell63

There are two possibilities:
1. You are running an older version to restore the file. e.g you run QB Desktop 2021 to restore a file created in QB Desktop 2022.

2. You are running an older release version. e.g you are using QB Desktop 2021 Pro R10 and the file is created on QB Desktop 2021 Pro R11

I've got your back, @Janell63. I'll share some details about why you can't access your backup file on your QuickBooks Desktop (QBDT). I'll also help you fix this so you can access them, and then proceed to get back on track with your business.

In QuickBooks Desktop, we can update our backup files to access them in the newer versions of QuickBooks. However, it isn't possible to revert the updated backup file to the old version. If you want to use the old version of your backup file, you'll need an old version of QuickBooks Desktop to access it.

What we can do to fix this is to access your updated file in the latest version of QuickBooks Desktop. This should help you get back to your business.

In addition, here are some articles that can help you in case you're having trouble with accessing your files in QBDT:

I have not put the new 2022 version of QB in yet.  Been waiting for these numbers that I just received from accountant.  When I put in to restore it said that QBDT cannot open this company file because the file has been updated to a newer version???   And would not restore.

Thank you for getting back to us and providing us with more information, @Janell63.

I want to add some insights about opening the backup file you received. Getting this error message means your accountant has a more updated version of QuickBooks than you have.

Both of you should have the same version, or you can have a gap of just one year, and the accountant should have a more recent version.

You can also ask for another copy of the file with the same version as what you have or a gap of just one year.

In the future, you can also upgrade your company files after switching to a new version of QuickBooks Desktop.

Leave a comment in this thread if you have any other questions or concerns about opening a backup file, and I'll get back to you right away. I'm always here to assist. Take care and have a wonderful day!
