Hey there, @walid-ghaly.

 

Hope your day is going well. Transferring your QuickBooks Desktop company data to QuickBooks Online is super easy. I've included a video and detailed the process below to get you doing this like a pro in no time.

 

  1. Make sure QuickBooks is up-to-date.
  2. Check if your company file isn’t too big to export.
  3. Log in as an admin to the company file you need to import.
  4. Go to the Company menu, then Export Company File to QuickBooks Online.
  5. Click Start your export.
  6. Sign in as an admin to your QuickBooks Online company.
  7. If you track inventory in QuickBooks Desktop:

    Note: Only QuickBooks Online Plus and Advanced can track inventory. Both plans use the FIFO method.

  8. In the Choose online company▼ dropdown, pick the QuickBooks Online company you want to be replaced by your company file.
  9. Hit Continue.
  10. Enter “Agree” in the text field, then select Replace.
  11. Select Yes, go ahead and replace the data, then select Replace.

 

That's it! I recommend checking out the import limitations so that you can make sure everything is in order before starting the export.

Make sure you are migrating your data file in the same version (e.g QBD US to QBO US). Otherwise you will need additional conversion service.

I just backed up my QB desktop and I want to transfer my data to QB online.  I do not have the option on my company menu to  Export Company File to QuickBooks Online.

 

Is there another way to transfer my file to QB online?

Thanks for reaching out to the QuickBooks Community. Sounds like you may be using QuickBooks Desktop Enterprise. While you may not see the, Export Company File option in there, I can still help. All you have to do is follow the steps below:

  1. Log in as Admin to the company file you want to import.
  2. On your keyboard, press Ctrl-1 to open the Product Information window.
  3. Press Ctrl+B+Q, then select OK.
  4. On the export window, select Start your export.
  5. Sign in as an admin to your QuickBooks Online company.
  6. If you track inventory in QuickBooks Desktop:
    • Select Yes to bring them over, then specify the as of date.
    • Select No if you want to set up new items later in QuickBooks Online.
  7. Select the Choose online company dropdown, then choose the QuickBooks Online company you want to be replaced by your company file.
  8. Select Continue.
  9. Enter "Agree" in the text field, then select Replace.
  10. Select Yes, go ahead and replace the data, then select Replace.

I can share some information about what information will transfer or not when converting from QuickBooks Desktop (QBDT) to 

 

When you move to QuickBooks Online (QBO) from QuickBooks Desktop (QBDT), some payroll info doesn’t transfer because QBDT has more payroll features. 

 

Those paychecks from QBDT will transfer as regular checks. QBO imports the current year's paycheck information as lump sums. If not, you'll have to enter past year-to-date payroll info for each employee.

 

Try to check the employee addresses especially from PR, AS, VI (unsupported states). 

 

The date of birth, gender, Social Security Number, Direct deposit account numbers, Bank names, and Routing numbers will convert. 

 

For your payroll items, transactions and payroll accounts convert. Liability refunds, adjustment transactions, and opening balance transactions that affect accounts convert to journal entries. 

 

Employee pay schedules and items convert. However, you'll have to manually map a few, so QuickBooks Online knows how to calculate them if they’re supported.

I can share with you some information about transferring data from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO).

 

Moving your data from QBDT to QBO won't replace your online data. However, I recommend picking the QBDT transactions, lists, or data carefully to avoid duplicate entries on your QBO file.

You should utilize a migration tool to do so. i.e TPExporter for Desktop, TPImporter for Online.
