Upgrade Quickbooks Essentials to Online Plus

Hello, I am new to this.

My Church upgraded to Quickbooks Essentials last year from the desktop version. We also have the Payroll module. These were both purchased from Intuit. Let's say these are installed in Company 1.

We recently purchased a donated subscription of Quickbooks Online Plus and installed this into Company 2 (no data so far).

I believe I need to:

Upgrade Company 1 to Advanced (so I can export the data from it)

Import the data from Company 1 to Company 2

Purchase another subscription from Intuit for Company 2

But I'm unclear as to how I set up Payroll in Company 2, and load year-to-date information into Company 2. There is no export/import functionality for that.

Can anyone help me, or steer me to a reasonably priced consultant?

I'd be glad to help you clear things up with regard to handling data in QuickBooks Online (QBO), martyob,

You can export data from QuickBooks Online (QBO) Essentials. Thus, upgrading to the Advanced version isn't necessary, but rather export your data directly from Company 1 to Company 2. Please refer to this article: Export reports, lists, and other data from QuickBooks Online. Also, you don't need to buy a new subscription since you already have an existing QBO Plus.

Additionally, importing payroll data in QuickBooks Online (QBO) isn't possible. We can only import the bank data, customers, vendors, chart of accounts, products/services, and invoices. However, you may enter them through the prior payroll process or journal entry

On the other hand, visit our QuickBooks App Center to find a third-party application that can import payroll transactions into the program.

Each company file needs a separate QBO subscription. Since you want to set up a payroll in your second company, you'll have to purchase a different subscription for that account. Simply go to the Payroll menu, and then choose the plan you want so that you can enter prior payroll data.

I've added this reference if you need to check your employees' year-to-date payroll amounts: Run payroll reports.

I'm always ready to lend a hand if you have other concerns managing your payroll transactions. Have a good one, and stay safe.

I wish I could say that your instructions worked, but I can't. Let me start again. We have 2 company IDs in Quickbooks. The 1st has Essentials and Payroll Core, which we purchased from Inuit. The 2nd has Online Plus (purchased from TechSoup) and Payroll Core (purchased from Inuit).

In the 1st company, I was able to export all data and lists, which gave me 8 .xlsx files. In the 2nd company, I do not see an option to import these files. I see some Import Data that looks to import Chart of Accounts, Customers, etc., and they are looking to import .csv files. I do not see an import that will bring in my 13 years of transaction data.

Hi there, @martyob. We'll chime in to provide more details about importing data from one company to another in QuickBooks Online (QBO).

Before anything else, know we appreciate you for performing the suggestions provided by our colleagues. We recognize the importance of having the option to make it easy for you to get your data from your previous company to your new company account. Since the current option to import doesn't apply to your situation, we recommend sending a feature request to our Product Development Team. This way, they can evaluate your suggestion and consider it for the next program update. We'll write down the steps to get you going:

  1. Access your QuickBooks Online company.
  2. On the top right-corner, click the Gear icon.
  3. Select Feedback and then enter your comments or product suggestions.
  4. Once ready, click Next to submit feedback.

Additionally, we recommend checking this article to learn more about importing data inside the program: Common questions about importing data to QuickBooks Online.

We'll be here in the Community space if you have other QuickBooks-related concerns or need assistance importing data inside the program. Keep safe.
