Using 2 servers to Host QuickBooks Enterprise, one for the app and the other for the QB Database.

Our current setup has 3 company files with a total of about 25 users online at any time (at the most). Most of those users (~20) are using one of the company files. The file is around 2 GB. QB Enterprise can supposedly support up to a 3 GB file, though we don't see our file growing much larger than it is now.

Our current server has 16GB of usable RAM and runs a 64-bit Intel Xeon E5 CPU @ 2.5Ghz. It exceeds Intuit's recommendations. Disk space usage is about 80% on the partition the company files are on.

Performance for the users on the largest company is poor. It had been suggested by our hosting provider that moving the QB database service to its own dedicated server would greatly improve performance, but I'd like to quantify that.

I'd appreciate anybody's advice and experience.

I would recommend running the Condense Data utility to keep your file size under 1 GB. Your users can still open the original file to access historical data if needed.

If your file is too large and running slowly, you have the option to decrease the size of your company file, @RS-Cephas

These methods may require additional time and effort. I agree with 4Gal, you can utilize the Condense Data utility to shrink the file size or create a new company file.

Here's how to condense data and keep all transactions:

  1. Go to File, then select Utilities.
  2. Select Condense Data.
  3. Choose Keep all transactions, but remove audit trail info to date.
  4. Hit Next.
  5. Let the process complete, then select Close.

You can also condense data by removing selected transactions. Refer to this article for the detailed steps: Use the Condense Data utility.

Thank you for the reply. I'll pass this on to our QB Admin.

Do you have any experience or thoughts about splitting our QB instance into two servers?

I can provide some insights on whether it's possible to split your QuickBooks instance across two separate servers, RS-Cephas.

I know your growing business is putting more demands on your QuickBooks system. While splitting the servers could be an option, I want to note that QuickBooks only officially supports hosting the company file on a single server, not across multiple servers.

  • Dedicated hosting
  • Peer-to-peer hosting
  • Alternate hosting

Also, we can't ensure consistent performance or functionality in a split server.

For reference, check this article: Host your company data in multi-user mode in QuickBooks Desktop.

You can use the condense utility tool to streamline your company's data file and improve its performance.

Please let me know if you have any other questions. I'm happy to discuss your specific requirements in more detail.

Hi GlinetteC,

The 2 server configuration that had been suggested to us was that one would host the QB application while the other hosted the database. I wasn't sure if that was clear because I wouldn't think that would split the company file itself. I may have just misunderstood.

Thanks again for your input!
