Archived files in QB Desktop

We have archived our files and in doing so found out that you can not see any detail of the transactions for that period.  I need to know how to get the details as this is information that we still use.  If anyone has a suggestion it would be appreciated.

I hope you're doing well, watch516.

Let me share a way on how you can get the details.

When you're unable to see some transactions after archiving the data, you can still restore the backup created (to a different file name than the file you're using).

Here's how:

  1. In QuickBooks, go to the File > Open or Restore Company.
  2. Click Restore a backup copy and then Next.
  3. Select Local Backup and then Next.
  4. Browse your computer for your backup company file. It should look like this: [Your company name].qbb.
  5. Select a folder to decide where to save your restored company file. Then click OpenNote: If you open the backup in the same folder as your existing company file, you may overwrite your data.
  6. To avoid overwriting anything, you can rename your existing company file or the backup so the names are unique. Or you can save the backup in a completely separate folder.
  7. When you're ready, hit Save. If you see any messages about possibly overwriting your data, select the option that best fits your needs. Don't overwrite anything unless you know you want to.

For reference on the steps above, you can read this article: Restore a backup of your company file.

Please let me know if you see the details or need any help with other task. I'll be right here to help you out again. Take care and stay safe.

@watch516

Did you run the Condense Data utility to delete old transactions and you need to access those transactions?

To be honest our IT team did this so I am not sure.  However, I will check with them to see.
