Automatic Late fees post onto new invoice

When is Quickbooks going to allow the option for automatic late fees to post to a new invoice.  Currently, the late fee posts to the original invoice, which has already been sent to the client.  The client, for their records and ours, needs to have a new invoice for the late fee.  They are not going to process the same invoice number.  In addition, the late fee needs to be post to the month the late fee is incurred, not a past month.

Automatic Late fees post onto new invoice

Hello, ssobul.

I'd like to share some details and steps regarding the late fees.

In QuickBooks Online, once the late fees option is turned on, fees will be calculated on invoices that become overdue (for the first time) the following day.

Additionally, invoices that were overdue prior to turning on the feature will not be included for the automatic calculation. This means that QuickBooks Online does not retroactively apply late fees to past invoices. You can, however, create an item for the late fee and manually add it as a product/service line on your past invoices.

To set different late fee rules for a specific customer, you can follow these steps:

  1. Go to Sales or Invoicing > Customers.
  2. Select the customer's name.
  3. Click the Late Fees tab and set the rules.
  4. Hit Save once done.

Here's a sample screenshot for a visual guide:

To learn more about the automatic late fees feature, you can read this article: Set up and apply automatic late fees to invoices.

Let me make it up to you, Ssobul.

The process I will share with you lets you add a late fee to new invoices. However, it will be done manually.

First, you'll have to create a service item for the late fee. Then, add the service item or late fee when you create the new invoice.

If you need anything else, please feel free to let us know. We'll get back to you as soon as we can. Take care!

Automatic Late fees post onto new invoice

I realize I can make a manual invoice. Please stop answering questions that were not asked.  I would like to know where it is in the QBO roadmap so that QBO does it itself.  It is a severe deficiency that QBO does not already do this step and the current way it processes automatic late fees.

Automatic Late fees post onto new invoice

Hi there, @ssobul.

I hear you and realize the benefit of being able to apply the late fees automatically to your new invoice.

The late fees feature in QuickBooks Online currently applies to the invoices that were sent to the customers. For now, you may continue to manually add the late fee item on your invoices to get your work done.

Know that our developers are constantly considering new feature to be added to the system. I'd encourage you sending this preference to them so this will be assessed. We aim to make the product work the way your business needs.

To do that:

  1. Click on the Gear icon at the top.
  2. Select on Feedback.
  3. Enter your request and click Next.
