Bills > Add Bill > Upload from computer is creating an expense not a bill

I am a Company admin (role) in Quickbooks online. When I go to Expenses > Bills > Add Bill > Upload from computer, it creates a Bill as it should. When another user who has the Standard all access role follows the same steps, an Expense is created. Why is this? Can a standard user (like an A/P clerk) not use this feature? Seems absolutely ridiculous. Does anyone have any ideas?

Hi there, @areel. I appreciate the detailed information you shared here in the Community forum.  Let me help you ensure that the other user can create a bill in QuickBooks Online (QBO).

 

It appears there might be a slight misunderstanding. The option you are referring to seems to be related to "Create Bill" rather than "Upload from Computer."

 

In QuickBooks Online, the "Upload from Computer" feature allows you to directly upload a bill from your computer into your account, which can be a convenient way to manage your financial documents. Once uploaded, the bill will appear on the For review tab. When you click on Review, it shows a bill in both company and standard all access roles.

 

 

On the other hand, "Create Bill" is used to manually enter bill details into QuickBooks.

 

If this is what you're referring to, I've replicated the steps using the Standard all access role on my end and I was able to create a bill, not an expense. Please know that this role can access everything for customers and sales as well as vendors and purchases which includes creating bills.

 

In the user's case, make sure to follow the correct steps to avoid mistakes. Go to Bills > Add Bill > Create Bill. Another way to do it is to click on +New, then Bill under the vendors section.

 

If the user selects the right steps but the same thing happens, it might be a browser-related issue. To rectify this, let the user access the QBO account using a private or incognito window or use other supported web engines. You can use these keyboard shortcut keys to access an incognito:
 

  • Mozilla Firefox: CTRL + Shift + P
  • Google Chrome: CTRL + Shift + N
  • Safari: Command + Shift + N
  • Microsoft Edge: CTRL + Shift + N

 

If creating a bill works using a private window, let the user go back to their regular browser and clear the cache to fix unexpected behavior in the product. If the same thing happens, it might be helpful to review your settings or permissions to ensure everything is configured correctly.

Did you happen to test as a Company admin? I just used the "Upload a bill from your computer" option and it created a bill. See attached. I would like my Standard all access user to be able to do the same. But she can't, instead, it creates an expense.

I've logged in both as a Standard user and an Admin user, and I've successfully used the same feature. Additionally, I can also confirm that bills were uploaded even when I was doing it as a Standard user.

 

I've also gone through the previous replies, and it appears that all applicable steps to address the problem have been shared in the thread.

 

Given this situation, I recommend reaching out to our chat and support teams to address this issue. They can investigate further and ensure that Standard users can indeed upload bills, not just expenses.

 

Here's how to reach out to them: 

 

  1. Go to the Help menu in the upper-right-hand corner to open the QB Assistant window.
  2. Type in "talk to a human", then press Enter.
  3. Click Contact Support Team, then provide a short description of your concern.
  4. Press Enter once again.
  5. Select No, I still need help, then choose Contact Support Team.
  6. Look for the Chat option and click on it.

Can you confirm if you created an actual bill under both users? She is able to use the feature, but it creates an Expense, not a bill. You can tell because it asks for a "Bank/Credit account" at the top and says "Delete this receipt" at the bottom (see attached). We have contacted support several times and we are never able to get an answer or a resolution. Everyone just reads the help articles to us which is not helpful.

Once you upload a bill via the Upload from computer option, a bill will appear on QuickBooks and be added to the For review tab where you can verify the information and schedule payment or pay later. Please know the process will work for both Standard and Admin users.

 

Since importing a bill creates an Expense on your end, I recommend contacting our QuickBooks Online Support again. They have the tools to pull up your account in a secure environment and be able to deeply investigate the cause of why uploaded entry shows as an expense.

Hi,

I might be on the wrong chat but I'm trying to figure out if there is a way in QB desk top-enterprise to upload many invoices at a time that should create bills in QB.

would appreciate anyone getting back to clarify this matter.

Hi there, @few. Let me provide some insights about uploading multiple bills in QuickBooks Desktop (QBDT).

 

In QBDT, the functionality of uploading multiple bills is currently unavailable. As of now, you can only upload one image of the bill at a time into the system. Please know that QuickBooks supports PDFs and images in jpeg, jpg, gif, or png formats.

 

Here's how you can upload bills in QBDT:

 

  1. Go to Vendors, then select Upload and Review Bills.
  2. Choose the Intuit Account you use for the company file.
  3. Select Browse to upload to add your Bills to QuickBooks company file. Each image or file should only have a single bill.
