Buy nowOkay, first some background. We recently migrated from QBD to QBO. Today I found a bill for an inventory item that had gotten misplaced and never entered, from before the migration date. When I try to input the bill, I am prevented from saving it with an error message about the bill date being before the tracking start date for the item. That start date was initialized in QBD long ago and is well before the bill date, but QBO has set it as the date that we migrated. The solution, as shown in many other posts here, is to smply change the start date for the item. Unfortunately, when I try I get this:
Some other posts suggest going into the Inventory Item account register and modifying it there, and I have:
But despite setting it to a date well before the one of the bill I'm trying to enter I'm still prevented from saving the bill by that error message. Any idea what's going on here and how to get around it without deleting the item and making it again? This doesn't feel like a one-off situation and that's really frustrating that I'd have to do that every time this issue may crop up in the future.
Thanks for reaching out to the Community, @shdeva1. I'm here to lend a hand.
When migrating from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO), some data doesn't convert. As for the Inventory, once you import it in QBO, it will ask you to choose a date. It uses the date to recalculate your inventory based on First-In, First-Out calculations. For more details about this, see this article: What to expect when you switch from QuickBooks Desktop to QuickBooks Online.
To get this sorted out, try editing the start date or As of the date of the item so QuickBooks allows you to move the date back when creating the transaction.
Here's how:
However, if the prompt persists that you can't adjust the item's starting date because it doesn't have a starting value transaction associated with it, I suggest creating a new inventory item instead.
Here's what you'll need to do:
For more details on how to track your inventory, see this article: Set up and track your inventory in QuickBooks Online.
Let me know how this turns out or if you have any other questions with QuickBooks. I'll be glad to help you further. Have a great day.
Hi. I feel as if you didn't actually read my post fully, wherein I acknowledged your solution as a possibility but asked for alternative solutions, as your solution is not desirable to me.
Thank you for the response, but I feel as if you didn't read my post fully. I acknowledged your solution as a possibility, but since it is not desirable to me I asked for alternative methods to fix the problem that shouldn't even be an issue in the first place were this software designed at all with the user in mind.
Without getting into the deep weeds, I have some initial questions.
1. Are you familiar with FIFO (First In First Out) inventory accounting? QBO uses this.
2. Are you receiving inventory using a PO? (even if you didn't do this for the Supplier, do it when attempting to process the correction, this preserves FIFO practices)
3. Are there any period limits being enforced for the time frame you are allowed to enter transaction?
If none of these conditions apply, you should be able to create a proforma PO which fully documents the fix, receive the goods on the original date and the transaction would appear in proper sequence to modify your QOH. Please be sure that you have not modified the SKU between the time you first ordered and the present. Something that simple can generate an error message.
Also, check for inventory adjustment transactions for that SKU. These do not follow FIFO rules, by definition. You may need to remove the adjustments (if any).
