Can't "Print" my W-2s

QuickBooks Accounting Desktop 2022 - Enhanced Payroll
I can't "print" my W-2s
Nothing happens when I click "Print PDF" (The cursor spins, but nothing shows up)
I've tried QuickBooks Tool Hub (Quick Fix, Diagnostic Test & Print & PDF Repair Tool), to no avail
I can save my other Tax forms to a PDF, but I can't "Print to PDF"

I'll share additional steps to help fix this printing problem.

 

Let's make sure your QuickBooks is running the latest release. This typically resolves issues related to critical updates and other potential errors within the product. If you require the steps, here's how to do it:

 

  1. Go to the Help menu and select Update QuickBooks Desktop.
  2. In the Update QuickBooks Desktop window, click Update Now.
  3. If there are any critical updates available, they will be listed. Check the box next to the critical update you want to install.
  4. Click the Get Updates button to start the download and installation process.

 

Additionally, make sure that the tax table has been updated. This will ensure that you have access to current and precise rates and calculations for federal and supported state taxes, payroll tax forms, as well as e-file and e-pay options: Get the latest tax table update in QuickBooks Desktop Payroll.

 

Once completed, restart QuickBooks Desktop to ensure that the critical update is applied and re-print your W-2s.

 

If the issue persists, switch to single-user mode to print PDF W2's. Once fixed, you can prepare and print the W-2 forms without issues.

Hello GlinetteC:

Thanks, but unfortunately it didn't work

I updated QuickBooks & Payroll, but it didn't help
I then clicked "Reset Update" (under Update QuickBooks Desktop) - just in case any of my files were corrupt or something - but to no avail
Any other suggestions?

Follow these steps to contact our support:

 

  1. Go to Help.
  2. Select QuickBooks Desktop Help/Contact Us.
  3. Select Contact Us.
  4. Type your issue in the space provided, then select Continue.
  5. Sign in to your Intuit account select Continue and then Continue with my account. If you don't already have an account, make sure to Create a new account.
  6. We'll email you a single-use code. Enter your code and select Continue. If you have more than one account, select the account you want to use and then Continue.
  7. Select to chat with us or Have us call you.

Have you tried following the information shared by my colleague GlinetteC to update your QBDT to the latest release? This is to ensure that you have access to the latest features and product improvements. QuickBooks will automatically download and install any available updates, but you can also choose to run the update manually yourself.

 

If you haven't follow the steps below:

 

  1. Go to Help and select Update QuickBooks Desktop.
  2. Select Update Now, then select Get Updates.
  3. When the update finishes, close and reopen QuickBooks. 
  4. When asked to install the update, select Yes.
  5. When the installation finishes, follow the on-screen instructions.

Can't "Print" my W-2s

BAD NEWS & GOOD NEWS

BAD NEWS:
I contacted support and, although he was very nice & TRIED his best, he couldn't help me.  He said he was going to bring the issue to the "Higher ups" and they will work on a solution.  That was two weeks ago & still no response.  The worse part is I HAVE TO mail these forms by the 31st and Quickbooks won't allow me to do so and I'm STILL waiting for the "Higher Ups" to respond
GOOD NEWS:
I accidentally solved my problem
I changed the default program for opening .pdf files from Adobe Reader to another one

There is no logical reason (that I can think of) as to WHY this worked, but it did

What if I didn't find the answer?

I haven't heard back from Quickbooks Support - Do they even CARE?

Hi Layna128:

I accidentally solved my problem
My default pdf reader was Adobe Reader.  I simply changed the default program from Adobe Reader to another pdf reader.  There is no logical reason (that I can think of) as to WHY this worked, but it did.  I hope it works for you
I'm also assuming you tried the suggestions already given by others here
