Class not prefilling on some vendors bills

Hi all,

We use the class system in QB desktop, latest version ( 2021 ), for department P&L. We have 4 classes setup.  99% of our bills from each vendor are the same class,  ie Napa - Service class, UAC - Wholesale, we have about 80 vendors we buy from, but only 10-12 we use everyday.  On some vendors the class is prefilled with Service, Napa does not prefill, we process about 20-30 bills per day from them which makes putting in the bill and tabbing to the class field a pain.  It used to be defaulted but it appears to have stopped.  I can't find any help online about it on desktop version, only the online version. Can anyone help??

Hi Kevin,

 

Having a lot of transactions, it's more convenient to have a prefilled class. However, this isn't an option in QuickBooks.

 

If you enabled the option to recall the last transaction for payees (name), QB prefills the next bill of a vendor using the data from its last transaction, which includes the classes assigned to the items. That's the only way to have a prefilled class.

 

On the other hand, we can't pre-associate a class to an item. Therefore, if you manually choose that item on a transaction, you also need to choose a class. It's not prefilled.

Gosh I can't believe I found this!  I use Enterprise 23 and I am having this same issue.  Sometimes it remembers the class and sometimes it doesn't!  I did a rebuild as somewhere along the way I found that, but that didn't work.  

 

The suggestion above doesn't work.  Again, sometimes it brings up the class and sometimes it doesn't.  It seems if QBs is going to offer a class, it should have programed to have it link to the vendor.  Especially because you can click it when setting it up!  BTW that does absolutely nothing!  

 

Anyone find a way to fix this???

The system should remember your past transactions once you enable the pre-fill option in QuickBooks Desktop (QBDT). Since you already did the verify and rebuild data, but the issue persists, let's update your QBDT to the latest release because there may be issues with your file that affect the class activity. 

 

Moreover, I recommend contacting Customer Care to assist you further if the problem remains. They have the tools to initiate a screen-sharing session, investigate your system, and create a case if necessary.

  2. Choose Contact us.
  3. Provide a summary of your issue and hit Continue in the description field.
