Correct way to group inventory items?

For Enterprise Solutions: Manufacturing & Wholesale 18.0

 

We want to group inventory items of a certain type together in the Item List

 

For instance, we want all circuit boards to be grouped together, all controls grouped together, all fasteners to be grouped together. Our accounting person has done this by setting up an inventory item such as Circuit Boards, and having all of the circuit boards being sub-items. The Circuit Boards "master" item is $0.00 cost and $0.00 sales price item.

 

Is this the correct way to do this? I know that QB Online has categories (Manage Categories). Is there a "best way" to do this in QB Enterprise?

Yes, you're doing the right way in grouping your inventory items. If you wish to group the same items together, you can set up an inventory item and use a sub-items to represent those items that you want to group together.

 

In case you need a reference on how to do it, I'd be glad to share the steps below:

  1. Go to List.
  2. Click Item List.
  3. From the Item drop down, choose New.
  4. Enter the Item Name/Number and check the box for Subitem of.
  5. Fill in the necessary information.
  6. Click Ok.

Hi,

I need to add a part as a subitem of several items. We integrate different machines that use the same operating system. When I try to add the OS as a subitem of more than one machine, it swaps among items but belongs just to the last selected.

Hi Rose,

In this screenshot you will see I'm trying to set two different machines; the SM-4UR_V1 and the SM-4UR_V2. They have parts in common as the W10 PRO operating system. How can I add it in booth machines?

I'm using the desktop version of QB 2020 for Mac.

I can help you add a subitem to several items in QuickBooks for Mac.

 

Here's how:

 

  1. Go to the Lists menu.
  2. Choose Item List.
  3. At the bottom, click on Item and choose New
  4. Choose the Type and other details. For example, the item type is Non-inventory, and enter the name.
  5. Hit on OK.
  6. Click on New again.
  7. Choose the type and other details. This time, enter Pens and check the box Subitem of and choose the item.
  8. Select OK.

However if the issue persists, You might want to run the QuickBooks File Doctor to fix company file issues.

I think in your example you are adding the item pen as a subitem of the first item, let's call it Box1.

My problem is I need to ALSO add the item Pen as a subitem to a second item, let's call it Box2. Let's assume it's already created.

In other words, I need the item Pen as a subitem of the both items (Box1 & Box2) simultaneously.

I can't find a way to do that, because when I create de item Pen (or if I want to edit its properties), I can choose only one item in the dropdown menu "subitem of".

The option to link an item to two subitems is unavailable. For now, you can only select one subitem. Nevertheless, I suggest submitting feedback to let our product engineers know about considering this functionality to be added to the software. Here's how:

 

  1. Click on the Help menu.
  2. Select Send Feedback Online.
  3. Open the Product Suggestion tab.
  4. Fill out the necessary information.
  5. Once done, click on Send feedback.

you may want to try creating a "group" instead of sub-items of items.

Correct way to group inventory items?

You may want to try using the "group" function instead of the "sub-item" option. With "Groups" you can use the same items in multiple groups. You then use the group name on your transaction and it will automatically insert all items within that group.
