Customer/Jobs Question

Hello! 

I am hoping someone can help me with this. Info out of the way first. I am running Quickbooks 2022 Desktop Accountant Version. 
I work for a non-profit and I am trying to track Profit & Loss for the Fundraisers and events that we hold.  My first thought for a workflow was this. 

Create a Customer/Job: Event X
Every transaction I would put Event X in the Customer/Job section of the transaction and mark it as unbillable. 

This would allow me to run a report based on that job. 

This worked great for purchases made for the event, but when it came to revenue I ran into a problem. Since we are a non-profit, all of our events have a Donation aspect to them. Or in the case of some we have Vendors who pay for space. 

When recording these transactions as Sales Receipts (Donations) the only way I can see to attribute them to the event is to have the customer listed as "Event X" instead of the actual donor. This works great for the reporting, but we also keep track of individual donors and their contributions through the year, so I need to find something that will allow me to attribute Customer Y's Donation to Event X. 

Is there a better way I can/should be doing this? Is there a way in QB Desktop to Track Jobs separately?

It's good to have you here, @Michael_Fay. No worries, I'll help you track individual donors and contributions based on the selected job from every transaction using QuickBooks Desktop (QBDT).


Yes, it is correct to mark it as Event X as a customer or job of a transaction to track data based on the job by running a report. You can use class tracking in recording donations as a sales receipt transaction. This way, you can attribute your customer's donation to a selected job. You may create a class for each donor and include it every time you record a sales receipt.


To create a class, follow the steps below:
 

  1. In the Lists menu, choose Class List.
  2. Select New in the Class dropdown.
  3. Put the name of your donor in the Class name.
  4. After that, click OK.

 

Once done, you can now include it when recording a sales receipt. Here's how:
 

  1. From the Customers, click Enter Sales Receipt.
  2. Select the Customer/Job and utilize the Class dropdown by choosing the donor's name.
  3. Enter the necessary information on the sales receipt.
  4. Hit Save & Close.

 

You may also track the transactions when running a Profit and Loss report by customizing the report and choosing Class for the Filter.
