Customers are automatically being made inactive

Hi QB - I wanted to let you know that we discovered some, but not all, of our customers are being made inactive in QB Desktop Enterprise Professional 2022 edition.  No one at our tiny company is doing this, it is being automatically done for whatever reason.  Most of the customers on the inactive report I pulled haven't had activity with us for a few years. However, a few of the customers did business with us this year. Most have $0.00 balances, but not all of them - one of the customers has an open down payment of a few thousand dollars since her repairs are coming up soon.  I spent over an hour on the phone with the sweetest gal at QB support this morning and it was a real easy fix in the end, but we have no idea how this is happening. Now that I figured it out and know how to fix it, I thought I should notify someone that you might have a bug in the program.  The report I ran, in the tiniest font imaginable, showing the inactive customers is 3 pages long.

Customers are automatically being made inactive

Hello there, BlackGooseDHL.

Thanks for posting in the Community and bringing your concern to our attention.

I'm glad that your issue about customers getting inactive is resolved. If there are any changes that you've discovered to your company file, you can run the Audit trail report. This lists each accounting transaction and any additions, deletions, or modifications done to your company file. This way, you'll also know if you have any data issues.

To open the report, here's how:

  1. Go to the Reports menu at the top.
  2. Scroll down to Accounts and Taxes.
  3. Choose Audit Trail.

For future reference, visit our Community Reports page to run through some reports to keep track of your entries.

Please feel free to comment below if you have other concerns about QuickBooks Desktop. I'm always here to help. Have a great day!

@MirriamM  RE: I'm glad that your issue about customers getting inactive is resolved. If there are any changes that you've discovered to your company file, you can run the Audit trail report.

The Audit Trail does not track changes to customer record and so will not be helpful for the customer's case.
