Duplicating Bills

I would like to be able to duplicate bills from the list of bills. In QB Desktop Mac, there was a window with a complete list of bills, both paid and unpaid. I could highlight a bill and then either press the quickkey <Command-D> or pull down a menu to duplicate that bill. Then I simply changed the date and any other information manually and saved the new bill. That was a big time saver and helped with accuracy as well.

Is there a way to do this in QuickBooks Online? I’m not seeing a window with all bills, but can access my Paid Bills, which is close enough. Once there, I’m not seeing any way to duplicate. I know I could set up recurring payments, but that isn’t really what I’m looking for.

Thanks in advance,

Tom

Duplicating Bills

Hello there, TomMxEdit.

Allow me to show you where to see all your bills in QuickBooks Online. I'll also provide the steps on how to duplicate a bill.

Here's how to get a list of all your bills:

  1. On the left navigation panel, click Expenses.
  2. From the All transactions dropdown, select Bill.

You can see both unpaid and paid bills on this page. However, there's no option to highlight and duplicate multiple bills using a shortcut key. You can only copy an unpaid bill individually.

Here's how:

  1. From the Expenses tab, go to Bills
  2. On the Unpaid section, locate the bill you want to duplicate.
  3. Click the dropdown arrow under the Action column.
  4. Select Duplicate.
  5. Change the details that you need to edit.
  6. Click Save or Save and close.

Furthermore, I see how the option to highlight and duplicate multiple bills using a shortcut key can be beneficial to your business. I encourage you to submit a feature request through the Feedback section. Our Product Development Team carefully considers all ideas to ensure we meet our customers' needs.

Once done, you can track feature requests through the QBO Feature Requests website.

For more info on managing your bills and payments, check out this article: Enter and manage bills and bill payments in QuickBooks Online.

You can also generate reports to show different information about your bills. Here's a guide on customizing reports to get your desired details: Customize reports in QuickBooks Online.

Keep in touch if you have additional concerns about viewing and managing your bills. I'm just one post away to help out. Keep safe!

Duplicating Bills

Hello AnneMariee,

I have followed your instructions, but when I get to the action menu I am only presented with "Copy" or "Delete." I can copy and make the changes that way, but I’m curious how to access the "Duplicate" menu you referenced. Is it possible that "Duplicate" only presents itself when the bill is unpaid? I am duplicating *paid* bills, so maybe that is the difference.

Just as a general note, in my first few days,  I’m finding the Online version of QuickBooks, both in the Desktop view and non-desktop view to be quite clunky in trying to get simple tasks done. I’ll continue trying to work these things out, but will most likely re-up my QuickBooks Mac Desktop for 2024, just to save valuable time as I try to figure out how to make the online version work in a smoother fashion.

At any rate, thank you very much for your help. I’ll mark your answer as the solution.

Duplicating Bills

Hi there, @TomMxEdit.

Allow me to chime in and provide information about the Duplicate in the paid and unpaid section in QuickBooks Online (QBO).

Currently, the option to use duplicate is only available in unpaid bills and not in paid bills. However, if you want the feature to duplicate in the paid bill section. I recommend sending feedback about it. We always consider customer feedback when improving or adding features. This will give us an idea of how we may improve the functionality of QBO to meet users' needs and enhance the working experience.

Here's how:

  1. Go to the left navigation panel, and select Expenses.
  2. Select Bills.
  3. Click the Give feedback, beside the Pay bills.
  4. Enter your comments or feedback suggestions.
  5. Click the Send Feedback button.

For more details about the feedback process, you can check this article: Submit Feedback.

After sending feedback, you can track them in this link: https://feedback.qbo.intuit.com/. This is where you can see the number of feedbacks sent about the topic.

For future reference, I'll also add this article to help you in running reports.

Feel free to reach out again if you have further concerns about duplicating bills or other QBO-related concerns. We at the Community are always happy to assist you.
