Hi - My business moved from Desktop Enterprise Contractor to QBO Advanced. After using QBO for a month, it has become clear that it will not work. My question is how can we export transaction level data from QBO and import it back into our Desktop File that we still have for the time period we have been using QBO. To be clear, not reports and opening balances and lists. We need to move all of the transactions (invoices, bills, credit memos, JEs etc) from QBO and import them into the existing desktop file. We can not create a new desktop file as there are third party systems that will need to do massive amounts of work if we create a new desktop file. Thank you.
Thanks for posting here, @Asch04.
Allow me to help you move your data back to QuickBooks Desktop (QBDT) from QuickBooks Online (QBO).
Before anything else, let me share the things that move from QBO to QBDT. For General Journal Entries, transactions with multiple accounts receivable or accounts payable lines move to multiple journal entries.
Also, Credit memos, Sales Receipts, Received payments, Bills, Bill Payments, Invoices, and Refund receipts. Feel free to read this article for more info: Learn how features and data move from QuickBooks Online to QuickBooks Desktop.
To start moving the data, you'll need to sign in to QBO and download the migration tool. Here's how:
After that, prepare the file for export and select your data in QBO. For detailed steps, check out this article: Move your QuickBooks Online data to QuickBooks Desktop.
I'll also add this page to help you check the transactions you migrated in QBDT if it's accurate: QuickBooks Desktop Reports page.
For additional questions on moving your data to QBDT, click the Reply button below. I'll be willing to help. Have a good one.
Thanks Bryan. Wont this solution create a new QBO company file? I am looking to take only certain transactions and import them into our existing QBD company file. Not create a new company file. Please advise. Thx
Thanks for coming back, Asch04.
No worries, it will not create a new QuickBooks Online (QBO) company file. It will only move your data from QBO to QuickBooks Desktop for Windows. Before we migrate data into the Desktop version, please create a backup file of your company file there. if you ever run into problems, you can use your backup to restore your data. To export only the data you need, just follow the steps below:
Then, proceed to Step 4: Run the QuickBooks Desktop migration tool section to finish the process in this article: Move your QuickBooks Online data to QuickBooks Desktop. When moving to the QuickBooks Desktop version, you may notice differences in how your books appear. To learn more about this one, check out this article: Learn how features and data move from QuickBooks Online to QuickBooks Desktop.
If there's anything else that I can help you with aside from migrating your data to QuickBooks Desktop, please let me know in the comments below. I'll be here ready to lend a helping hand. Have a good one.
You need to use a 3rd party migration tool. i.e TP Exporter for Online and TP Importer for Desktop.

You can purchase TP Importer for Desktop $200 one time license. You can get $100 cashback to purchase thru a partner.
Hello -can you please provide the current instructions?
When I use this process the screen quickly redirects and logs me out. I am unable to export my data file from QBO. Thank you.
Do you need to convert data from QB Online US version to QB Desktop US version or else?
I am in the US. QBO US version (accountant) to QB Desktop US version. The above instructions no longer work. The screen quickly logs me out when I hit enter (redirecting to the login screen).
Which QB Desktop year version do you have? You can use the trial version of QB Desktop 2021 Pro to convert data from QBO.
I am an accountant. I need to export client files (I am the admin) from QBO to QBD, restoring in QB Accountant 2023. I am logged out of QBO using the above instructions. I spent over an hour on the phone with QB support and unsuccessfully resolved the issue while speaking. My ticket is being submitted to data services and hopefully I will get a resolution. Can you please explain why I cannot export to QBD? It is not a web browser issue or computer issue on my side. It is determined to be a QB issue. Thank you.
I found QB Desktop 2023 and 2024 to be unreliable in converting data from QBO. I still prefer to use QB Desktop 2021 and IE 11.
