File Upload Accounts Receivable

I wanted to reach out to see if anyone knows of a way to take a remittance excel or csv file and upload it to QuickBooks to apply to a customer account and open invoices.  We currently manually match each line item in excel to an invoice.  We receive payments on one check or ACH for multiple stores.  The file would need to match the store number and invoice number to what is in QuickBooks.  The stores don't always pay the exact amount, so we would need the ability to review exceptions before making the deposit to the bank account.  We work on the cloud.

I know a way how you can upload CSV files in QuickBooks to apply to a customer account and open invoices.

 

Uploading a CSV file is an easy-peasy step in QuickBooks. Let me guide you on how:

 

  1. From the Transactions tab, select Banking.
  2. In the Link account drop-down, select Upload from the file.
  3. Click the Drag and drop or select files button.
  4. Select the CSV file and then Open.
  5. In the QuickBooks account dropdown, select the account you want to upload the transactions into.
  6. Follow the onscreen steps to match the columns on the file with the correct fields in QuickBooks.
  7. Select the transactions
  8. Select Yes.
  9. Click Let's go.

 

Then, we can now match the payment to the existing invoice.  If there are fees deducted from the payment or any differences, we can select the option Resolve difference. 

 

  1. Go to Banking, then For Review tab.
  2. Select the transaction.
  3. Click the option Find a match.
  4. Put a checkmark for the check you recorded in QuickBooks.
  5. Scroll down, then toggle the option Resolve difference.
  6. Enter the Date, Payee, Category, and the Amount.
  7. Once done, hit Save.

I appreciate your response!  Do I have to have the transaction pro to be able to do this?  I logged in, and we have Premier Manufacturing and Wholesale edition 2021 of QB.  I don't see a Transactions tab on the left hand side.  At the top, I have Banking as an option, but it does not have the drop down option where I would select upload from the file.  Thoughts?

I appreciate your response and providing an update, @AmberT13. I'm here to ensure that you'll be able to upload your transactions.

 

Beforehand, the steps given by my colleague above are for QuickBooks Online. If you're using QuickBooks Desktop, importing bank transactions to QBDT using the CSV file is unavailable. Otherwise, you'll want to import your bank transactions using the .QBO format.

 

Then, you're now ready to upload your files. Here's how:

 

  1. Go to the File menu, select Utilities, and select Import.
  2. Click Web Connect Files then choose the .QBO file you saved.
  3. Select Open, and choose your bank account.
  4. Click Continue.
  5. From there, you can see a dialogue box telling you that the data has been successfully read into QuickBooks and select OK.
  6. Go to the Bank Feeds Center to review your transactions.

If you are using QB Desktop, you have 2 options to pick as the importer tool. You can only able to import transaction data as IIF into your QB Desktop. If you are not familiar with it, you should utilize a 3rd party importer tool.
