HELP! I need to restore Accountant's changes-but I upgraded from 2016 to 2019!!!

Our CPA has had Accountant’s Copies of all Quickbooks entities (files) for several months.  The cut-off date was 12/31/18, for the purposes of tax returns.  They are finished and have provided the .QBA files.  The problem is, we upgraded from Quickbooks Accountant 2016 (on Windows 7, to Quickbooks Pro 2019 (Windows 10) on 3/11/19.  NOW, I can’t restore the Acct’s copies into the new version of Quickbooks 2019.  Thankfully, I KEPT Windows 7 with the old files in it.  The entries stop on or around 3/11/19, when we upgraded.  I’ve made quite a few entries in the new files in the last three weeks.  I’m trying to figure out how to maybe restore the acct’s copies into the old files, THEN somehow convert the old files in 2016 into Pro 2019 with the latest entries.  I’m wondering if there’s a way to restore/combine an old file and a new one into ONE file, after restoring the accountant’s entries.  I DO NOT want to have to either enter the Accountant’s entries for 2018, OR all the entries I’ve done in 17 entities in the last three weeks.  PLEASE HELP.  THANK YOU!  JAN D.

HELP! I need to restore Accountant's changes-but I upgraded from 2016 to 2019!!!

Greetings, @janaleeTX,

You need to install your QuickBooks Desktop (QBDT) 2016 and restore the file from there. The client and accountant using the Accountant's Copy feature should use the same version or year of QBDT.

You can work on the Accountant's copy using a different version. However, the gap between their versions is one year and the accountant has the most recent version. Please check this out for additional information: Use the Accountants Copy.

To prevent losing your 2019 data, you can create a backup of your QBDT 2019 company file. Then, restore it later after installing the 2019 version of QuickBooks.

That will answer your concern for today about restoring your Accountant's copy.

HELP! I need to restore Accountant's changes-but I upgraded from 2016 to 2019!!!

Thanks for bringing this concern to my attention, @janaleeTX.

You've got me here to help share some information about restoring the backup copy of your accountant's copy into your QuickBooks 2019.

If you still have your QuickBooks 2016 installed on your computer, you'll need to restore the backup copy that you've created and save all the changes that you've made. Once done,  you can create a backup copy again then update your files into the latest version. Updating your file to the latest version will bring up all your transactions.

If the issue persists after trying this process, you can try running the verify and rebuild process. Verifying the data self-identifies data issues within a company file while rebuilding the data resolves data integrity issues.

Also, here are some articles that you can check out about using the accountant's copy in QuickBooks Desktop:

In case you'll need additional assistance with this procedure, I'd suggest reaching out to our Customer Care Team. They have the proper tools such as screen-sharing that can guide you through the steps.

That should do it.

Keep me posted if you have any other questions about restoring file in QuickBooks by leaving a reply below. I'll be around to help. Have a good one.

I really need an answer to the question: WILL a backup of 2019 restore into a 2016 .QBW file?  I can then convert the 2016 file into my new Pro 2019 file.  Thank you!!!

Hello janaleeTX,

Thank you for getting back here in the Community. I'm here to assist you by providing additional information about restoring backups in QuickBooks Desktop.

Once you restore and convert the backup copy into a later version of QuickBooks, you can no longer open it in any earlier versions. For more insights about restoring company files, I'm adding the articles I recommend:

Does that mean I can't restore a file from 2019 to 2016?  And then convert the 2016 file back to 2019?  I HAVE to restore my accountant's copies into the 2016 file, but have made entries in 2019 for 3 weeks now.  Do you see my predicament?

HELP! I need to restore Accountant's changes-but I upgraded from 2016 to 2019!!!

I figured out that I can open the Accountant's .QBA files DIRECTLY and print the journal entries they did at 12/31/18.  That's the information I needed to get from the accountants copies.  I removed the restrictions on my 2019 files and we will manually enter the ajes.  There weren't too many and it just ended up being the easiest thing to do.  MUCH better than having to enter all the transactions I've entered (into 15 separate entities) over the last few months!  I'm SO glad I had kept my 2016 files in Windows 7.  It was MY fault for upgrading to Windows 10 and Quickbooks Pro 2019 during the time our CPA had the files.  We partitioned the PC hard drive (on my MAC desktop-using Parallels software) so I was able to keep the old operating system.  This was sure a learning experience.  Thank you for all your replies and help!  JanDavis
