How do I delete an employee with existing pay checks assigned? I tried to delete the assigned pay checks in payroll settings and I don't have that option. Please help!

How do I delete an employee with existing pay checks assigned? I tried to delete the assigned pay checks in payroll settings and I don't have that option. Please help!

Managing your employees in QuickBooks Online (QBO) Payroll is my priority, @ela-trueedge-ca. That's why I'm here to share a few details about deleting their profile and guide you on the best option you can do to keep your records accurate.

 

When an employee has existing paychecks or pay history, you're unable to delete their profile from payroll. This is to keep important tax info for W-2s. 

 

If you let them go, you can change your employee's employment status instead. With this, they'll no longer appear on your active payroll list. However, their profile and pay records remain in your accounts and appear on reports. To do this, here's how:

 

  1. Go to the Payroll menu.
  2. Select the Employees tab.
  3. Choose the employee's name. If the employee isn't on the list, select All employees from the Active Employees dropdown menu.
  4. Click Edit ✎ next to Employment
  5. From the Status dropdown, select Terminated or another appropriate status: Paid Leave of AbsenceUnpaid Leave of Absence, Deceased. Select Not On Payroll if you layoff or furlough an employee
  6. Select Done80.PNG
