I have and need two company files in QBO. Must be able to tell them apart on Switch Company screen. How can I change the text for 1 that appears so they are unique?

I had migration issues that went unresolved for years due to what I consider a failed migration from QB Desktop Pro 2017 which meant I needed to start a fresh file without all the garbage that was causing problems. We've done that but currently I cannot tell my company files apart on the Switch Company screen. How can I label the old file as Old or really in any way I can tell them apart easily? I want more than just the order on Switch Company screen as that is inexact and could change. Currently I get my exact company name appearing twice which I seem to lack the ability to change.

Hi rhardy,

 

I can imagine the amount of effort you've exerted to start with a new record. It must have been a huge work since your data started in 2017, or perhaps before that. I'll help you with renaming the exported company.

 

Ideally, you can change the company name in the setting of your exported company. However, it was designed before to preserve the original desktop file name. So even if you change it in the settings, the name will not change in the Company list or Switch company screen. What we can do in this case is change the name of your QB Desktop file and re-export the data to the exact QBO company that came from QB Desktop before.

 

Keep in mind that you have two QBO companies with the same name. So you need to rename the one you created (not the exported one), and NOT choose it as a destination company when you re-export your data. Otherwise, your efforts to re-enter your records will go in vain if you choose it.

 

Change the company name in the settings:

 

  1. Go to the Gear icon and choose Accounts and settings.
  2. In the Company bar, click the Company name section.
  3. Change the name and click Save.

I would love to know why everything Intuit seems to constantly gets confused between the US and Canadian sites. This was a Canadian thread and yet some how, much like the support which keeps getting routed from Canadian products to US support this now became a US post for some unintelligible reason.
I wrote a long reply with a lot of important migration deficiency details but the website just destroyed it. We will see if it happens again. Long story short QBO migration of QB Desktop Pro files only works with new files. Over the 25+ years I've been in business QB Desktop changed how they did things repeatedly frequently those only worked in new files. We found the QBO migration process basically ignores most of those and declares success without getting agreement from the business owners. This failed for 4 years and caused all sorts of problems for us. I tried what you described previously but it would not let me do it. I changed it slightly and edited "Company name
Shown on sales forms and purchase orders." and it would let me change the company name there to "CompanyName (2021 and earlier)" and that does appear on the switch company screen. Thanks for your help in finding this as my accountants/advisors we not able to resolve this.

I've had to join my own support thread four times and even after I just posted a reply simply clicking on Accept as solution resulted in another authentication error. Hopefully this will get posted without another repeat.
