I moved over from MYOB where we used Job no.s to allocate bills to certain vehicles on our fleet, I was told this is possible in Quickbooks, would you tell me how please?

I'd be delighted to share with you some insights on how to use job numbers to allocate bills to specific vehicles, @suraj-oranarenta.

 

You can set up and add jobs as projects in QuickBooks Online (QBO) to track job costs from there. Then, turn on class tracking, enabling you to allocate bills to specific vehicles.

 

Here's how to activate and set up class tracking:

  1. Go to Settings ⚙ and select Account and Settings.
  2. Select Advanced, then select the Categories section to edit.
  3. Check Track classes.
  4. Tick the Warn me when a transaction isn't assigned a class box. This is optional, but it's good to turn on, so when you look at reports, you know everything got classified.
  5. Under Assign classes, select the One to entire transaction or One to each row in transaction option from the drop-down list.
  6. Select Save, then Done.

 

From the Projects menu, create the job by clicking the New project button. Add the project name or number and then the customer name, and then hit Save. Once done, you can allocate the bill to the vehicle. Here's how:

 

  1. Select Add to project and then choose Bill.
  2. Enter necessary details.
  3. Under Category or Item Details, click the empty cell on the Class column and then select +Add new to add the vehicle name.

  4. Hit Save and close.

 

Additionally, you can go to the Project Reports tab to view the job or Project profitability report.
