I sold my car in 2024, and have a new one. The previous car is marked as inactive, but I'm still being asked to assign everything to my new car. How can I make automatic?

I only have the one new car as active, and no longer own the previous car. Why can't this be set to automatically assign to the only active car I have? Is there a way already?

Hi there, derek.

Thanks for providing us with details. I'll be glad to help you ensure your vehicle is assigned automatically.

QuickBooks Self-Employed doesn’t automatically link vehicles to downloaded bank transactions. It also displays inactive vehicles, enabling you to categorize car-related expenses from when those vehicles were in use.

As a workaround, I recommend creating a Bank rule to automatically assign transactions to your active vehicle. To do so, here's how:

  1. Go to the Gear icon and select Create rules.
  2. Click the Create rule button.
  3. Enter the appropriate description and tick the Match exactly box.
  4. Choose the account from the dropdown.
  5. Under the Category section, click Uncategorized, and select Gas and Fuel.
  6. In the Vehicle dropdown, select your primary car.
  7. To apply the rule to past transactions, tick the Also apply to past transactions box.
  8. Once done, click Save.

At the same time, you can rename the inactive vehicles to avoid confusion when categorizing car-related expenses.
