I upgraded from Quickbooks Self Employed to QBO and I lost all of my outstanding invoices. What happens to them or how do i get them into QBO?

Thanks for connecting with us in the Community space, Alex.

Transferring your outstanding invoices from QBSE to QBO is straightforward with the right steps. I wanna help tackle this issue head-on and get everything in order.

QuickBooks Online (QBO) allows you to import multiple invoices simultaneously, making the transition smoother and more efficient. The first step in this process is exporting your transaction data from QuickBooks Self-Employed (QBSE). After exporting your transactions as a CSV file, you can then proceed to import this data into QBO.

Here's a step-by-step guide to help you get your invoices into QBO:

Step 1: Export CSV from QBSE

  1. Go to the Transactions menu.
  2. Use the Type, Account, and Time period ▼ dropdowns to sort the transactions.
  3. Select the Export icon to export to Excel.

Step 2: Prepare Your Spreadsheet

  1. Go to Settings ⚙ and select Import data.
  2. Select Invoices and then Download sample csv.
  3. Ensure your spreadsheet is in .csv format with the necessary columns: Invoice number, Customer, Invoice date, Due date, and Item amount.
  4. For multiple line items, ensure each entry includes the invoice number, customer name, invoice date, and so on.

Step 3: Upload Your Spreadsheet

  1. Go to Settings and select Import data.
  2. Select Invoices.
  3. Click Browse, locate your invoice CSV file, and select it.

Step 4: Map Your Import Fields

  1. Match your spreadsheet’s column headers to the corresponding QuickBooks invoice fields. Required fields are marked with an asterisk (*).
  2. Select Not applicable for unused fields.
  3. Choose the date format used in your spreadsheet, like DD/MM/YYYY.

Step 5: Import Invoices

  1. Review the import summary. If all looks good, select Start import.
  2. Once completed:
    1. Click OK if all invoices imported successfully.
    2. For any failed imports, note the issues, and then select Done.

Please note that you can import up to 100 invoices at a time with a maximum of 1,000 rows per spreadsheet. The imported invoices can include single or multiple line items, but be sure to exclude discounts, credit memos, or negative amounts to ensure a smooth transition.

Each step in the process is designed to maintain the integrity, accuracy, and completeness of your financial data. This ensures that there are no gaps in your records, which is vital for maintaining accurate financial reporting and continuity in your business operations.

Furthermore, here's an informative guide for recategorizing your transactions after you import.

Hi Faith,

Thank you so much for the detailed help!

Just one question left, when I go to QBSE it auto redirects me to QBO. How do I get the initial export?

Thanks!

I upgraded from Quickbooks Self Employed to QBO and I lost all of my outstanding invoices. What happens to them or how do i get them into QBO?

Thanks for coming back, Alex-slaughter. We can perform some troubleshooting steps to export transactions from QuickBooks Self-Employed (QBSE) to QuickBooks Online (QBO).

We appreciate you performing the recommended solutions provided by my colleague. To better isolate the issue, we can perform some troubleshooting steps to see if the issue is within your browser when accessing your QBSE account. We can open a private or incognito window in the browser to open your account with a clean slate and load fresh data. Here's how:

  • Mozilla Firefox / Internet Explorer: Press CTRL Shift P
  • Safari: Press Command Shift N
  • Google Chrome: Press CTRL Shift N

Once done, log in to QBSE and export the transactions into a CSV file. Here's how:

Run financial reports:

  1. Go to the Reports menu.
  2. Find the report you want to download.
  3. Choose the time period or tax year from the dropdown.
  4. Click View or Download.
  5. Tap the arrow icon ▼ and then the Print or Download.

Download your transactions:

  1. Go to the Transactions menu.
  2. Use the TypeAccount, and Time period ▼ dropdowns to sort the transactions.
  3. Click the Export icon. Receipts aren't exported. You can download them from specific transactions.
  4. Go to the Reports menu and download your receipts for particular tax years.

To learn more about migrating your company file to a QBO version, check out this article: Switch from QuickBooks Self-Employed to QuickBooks Online.

If it works, go back to your regular browser and clear the cache to delete those temporarily stored files and browsing history. The overtime data collection can create corruption, however, removing this should fix the issue. You can also use supported, up-to-date browsers to rule out the possibility of a browser-related issue.

Moreover, you can refer to this link for everything you need when migrating to QuickBooks Online: Getting Started With QuickBooks Online.

We are ready to back you up if you need more help exporting your transactions or any QuickBooks-related concerns. Add your reply below and we'll circle back to help you, Alex-slaughter. You have a good one.

I upgraded from Quickbooks Self Employed to QBO and I lost all of my outstanding invoices. What happens to them or how do i get them into QBO?

Hello,

I tried this and was still re-directed to QBO automatically even when trying to access Self Employed.

I put a screenshot of the network activity showing the 302 redirect from QBSE to QBO.

It would appear my old QBSE account is unavailable so I'm not sure I can actually create the export.

Best,

Alex
