importing a large bill into QB Desktop

I need to import a very large bill into QB desktop along with using our Custom Fields with data there.  Can this be done?

You can import very large bills using an IIF file. You might use our BRC IIF Transaction Creator to create it from an Excel worksheet.

That noted, I am not aware that Bills have custom fields. I don't think any that exist are supported when importing.

Thanks.  I was afraid of that.  Every sample IIF file I see do not show custom fields.  I need those, so I guess it stays as manual entry.

I'm not sure what you mean by custom fields on bills. Perhaps there is a way...

Questions:

- What version of QuickBooks are you using?

- What custom fields have you set up on Bills? What steps do you take to do that?

I am using Enterprise Contractor 24.0 edition.

I have multiple fields set up for Vehicle Unit # and another for PUC status.  I originally set these up going thru Lists / Items / double click any Item, then go to Custom Fields, Define Fields . . . etc.,

After wards I added to our column display when entering Bills.

I have a huge Fuel Bill that I only enter the summary for, but would like to import with vehicle numbers, etc.

However, I do not see that option in the IFF import file either and do not have enough experience with IFF files to worry about Errors.

Hello there, ljw8.

Thanks for getting back to us and providing detailed information about your concern.

I am here to assist you with importing your bills with custom fields in QuickBooks Desktop (QBDT).

To import a bill using IIF files, you can use the CUSTFLD1 - CUSTFLD5 column headings and add the information you want to import. For your convenience, you can download the QuickBooks IIF Import Kit to help you in creating and working with .IIF import files. Additionally, you can check out this article for guidance on importing .IIF files: IIF Overview: import kit, sample files, and headers.

To learn more about import features and how to ensure everything is intact after transferring them, I'm adding these resources for you:

Feel free to reach out to me anytime if you need further clarification on importing your bills in QBDT. I'm always here to help you. Have a great day ahead!

@ljw8

If you are not familiar with IIF, you may have another option to explore

1. Register your three bills manually

2. Use the trial version of the exporter tool to get your bills data template

3. Prepare one new bill with the template and use the trial version of the importer tool

4. If successful, you can purchase only the importer tool license. This is a one-time $199 license.
