Landed Cost failed to post where it required "Full" Access under edit closed transaction

Hi,

We tried to make role for our purchasing team where it required to input landed cost. But to able input landed cost we have to set "accounting" role where it has access to edit and closed transaction where we want it restricted for our purchasing team. Here is the error screen shoot when we are not put role "accounting" on user our purchasing and failed when try to post landed cost.

is there another way to set role for our purchasing so they can post landed cost?

Hi mark, I know how important it is for your purchasing team to have a role where it needs to input calculate landed costs using QuickBooks Desktop (QBDT). Let's delve into why having a precise accounting role is essential for this process, ensuring your team operates smoothly and efficiently.

We want you to note that there is no other way to assign a role to your purchasing team without setting it to an accounting role. Assigning an accounting role is essential to ensure that your closed books remain secure when posting a landed cost. Users must have the closing date password and the appropriate permissions to modify or delete transactions in a closed period, thereby maintaining accuracy and security in your records.

To enable the accounting role, follow the steps below:

  1. Hover to the Company tab and click Users.
  2. Click Set up users and role.
  3. Double click on the designated user to add a role.
  4. On the Available Roles, select the Accountant* and tick Add>>.
  5. After that, hit OK.

Landed Cost failed to post where it required "Full" Access under edit closed transaction

Hi,

Thank you for your reply. Actually, i have issue with the role.

1. We installed QB enterprise on server and to access QB apps we will do remote desktop for each user

2. There is case where our accounting team able who has accounting role when they tried to using account QB of our purchasing team that has no accounting role they can do landed cost

3. So our accounting can do landed cost using our purchasing account but our purchasing still keep not able to do landed cost with their own account.

Does QB apps has cache file that might make our accounting still able do landed cost using purchasing account because before do testing like that our accounting using their own account who has accounting role? So it make us confuse why purchasing account can be used by our accounting to do landed cost.

Thank you for the detailed information about the issues in managing landed costs in QuickBooks Desktop (QBDT), @markyaja. Allow me to provide details and troubleshooting steps so you can successfully do landed cost in your QuickBooks account.

Yes, the QuickBooks Desktop app has cache files which can be the reason why the system allows purchasing accounts to manage landed costs. Generally, QuickBooks operates based on how you set up the roles and permissions.

In this case, let's utilize the QuickBooks Tool Hub to access a collection of tools that can help fix issues in your account and ensure that your company file is in good condition.

Let's start by downloading the QuickBooks Tool Hub. We advise using this program on Windows 10, 64-bit, for the best experience.

Here's how:

  1. Close QuickBooks.
  2. Download the most recent version (1.5.0.0) of the QuickBooks Tool Hub.
  3. Open the file you downloaded (QuickBooksToolHub.exe).
  4. Follow the on-screen steps to install, then agree to the terms and conditions.
  5. When the installation finishes, double-click the icon on your Windows desktop to open the tool hub.

After that, you can launch the hub for the tools you’ll use to fix your issue. You can proceed with Step 2 in this article for guidance: Fix common problems and errors with the QuickBooks Desktop Tool Hub.

Additionally, I suggest getting in touch with our Technical Support to take a closer look at your account and double-check the setup of your purchasing account. Follow the steps below:

  1. Click Help at the top menu bar, then select QuickBooks Desktop Help.
  2. Select Contact Us and enter he question, keyword, or topic you need help with, then click Continue.
  3. Choose either to Message an Agent or Talk to a Specialist.
