late charge

We have some clients that are receiving the 1.3% late charge that we just started to apply after invoices are late and some that are not receiving the 1.3% late charge. How do we get everyone on the same page to receive the same late charge??

late charge

Thanks for posting here in the Community, LJK1970. I'm here to ensure all your clients receive the same late charge on overdue invoices in QuickBooks Online (QBO).

To begin, please be aware that QuickBooks only applies late fees to invoices created after you activate the late fee setting. Existing overdue invoices won't be affected by this change. It could be why some of your customers didn't receive late charges.

To ensure proper setup, let me walk you through configuring late fees for your invoices. Here's how:

  1. Go to the Gear icon, then select Account and settings.
  2. Click Sales and press Edit in the late fees section.
  3. Turn on the Default charge applied to overdue invoices switch.
  4. Enter the Amount or Percent (%) of the fee and set the Frequency.
  5. If you want to give them a grace period or edit the default name.
  6. Hit Save when done.

Moreover, you can still manually apply late fees for older invoices by adding a line item to them. Check out this article containing detailed steps about the process: Add product and service items to QBO.

For future reference, here are some links about personalizing your sales forms and recording your invoice payments in QBO:

Let us know in the comments below if you have further concerns about managing your invoices in QBO. We're always here to lend a hand again. Stay safe.
