Mapping Chart of Accounts using excel in Quickbooks Desktop

I need to remap my company's chart of accounts in quickbooks desktop.

I've exported my current chart of accounts and updated the mapping in excel. How do I upload the new chart of accounts to perform this remapping?

Good evening, @CPJ37

Thanks for reaching out to the Community.

Mapping for QuickBooks Desktop can be tricky. With that being said, awesome job remapping the data. I'm happy to help you get your data imported. Check out the steps below to do this.

To import a list in the CSV format, you'll need to install the QuickBooks Import Excel and CSV toolkit.

To install the kit:

  1. Open the file download window for the toolkit, then hit Save.
  2. Go to your Windows Desktop, then select Save.
  3. Double-click QuickBooks_Import_Excel_and_CSV.exe on your Windows desktop to open the WinZip Self-Extractor window.
  4. Click on Browse, then choose the folder where you want to install the toolkit. Then hit OK.
  5. Select Unzip to extract the contents, and then click Close to close the window.
  6. Open the QuickBooks Import Excel and CSV folder from the location you selected in step 4.

Check out Import/export CSV in QuickBooks Desktop for more details. Additionally, if you need further help, you can always contact our technical support team. They have the tools available to remote in your computer securely and help you import the data.

Mapping Chart of Accounts using excel in Quickbooks Desktop

Thanks Tori!

Does the file need to be in any specific format in order to get recognized/mapped as a Chart of Accounts? Once this step has been completed, what comes next? Can I carry over account balances or do those need to be added individually for each account?

Thanks for getting back to us, CPJ37.

Just like Tori B said, importing lists in QuickBooks Desktop can be a little tricky. Before that, it's best to create a backup copy of your company file.

QuickBooks accepts file types such as IIF, ASCII text, TSV, CSV, XLS, Excel, and etc. For best results in importing the file, I'd recommend downloading the QuickBooks Import Excel and CSV toolkit. This contains sample formats for each file types. You'll have to follow the format so QuickBooks can recognize what list you're trying to import. You can use this link for reference which was already provided on the earlier response: Import/export CSV files.

While formatting the file you want to import, you might have an option or column to enter the account balances. Otherwise, you'll need to go to each account and enter the balances one at a time after the import process.

If you encounter issues while following the steps, you can contact our Technical Support Team to help you review the file.
