You can use QBD Pro Plus, Premier Plus or Enterprise to manage unlimited company files. You can use Enterprise to open 2 company files at the same time.

Which QB Desktop year version do you have?

Thanks for raising your concern in our forum, @NameUser. We're glad to share some insight about this matter and ensure you get to set up the company file in QuickBooks Desktop (QBDT).

We can see the necessity for managing company files in our program without issues. With your concern, we can agree to Fiat Lux - ASIA. You can create unlimited company files and switch anytime if you already have QuickBooks Desktop (QBDT) installed on your computer. Let me share some steps on how to create one.

  1. In the No Company Open window, select Create a new company.
  2. Pick Express Start or Detailed Start.
  3. Follow the on-screen instructions and click Start working.

For a detailed guide, see this link: Create a QuickBooks Desktop company file

To switch your company file, here's how:

  1. Go to the File menu and select Close Company.
  2. Pick the other company files you want to open in the No Company Open window.
  3. Then, you may follow the screenshot below:

We'll also share these articles below on how to fix company files and find product names, numbers, and other QBDT important information:

Have 2021 version.

Not really concerned about having multiple companies open at the same time, although nice, just need to know how many separate companies I can have in QB premier desktop 2021.

Thanks!

I’m glad to see you back, @NameUser.

In QuickBooks Desktop (QBDT), there’s no limit to the company files you can create within the application. As long as your computer can carry over the number of companies added to your application without running into problems, you can create as many as you can.

Moreover, learn how to combine your financial reports from multiple QuickBooks Desktop company files by checking out this article: Combine reports from multiple company files.

Feel free to tap me here if you have more concerns about setting up the company file. I’m always available to help.

QB Desktop 2022 is limiting me to 4 company files.  When I add a 5th it erases one of the previous company files.  What am I doing wrong?

Thanks for joining this thread, pamisshopping.

I want to make sure you're able to add the new files in your QuickBooks Desktop account.

While you can have as many company files as you need, storage is limited to the free space on your computer. Additionally, the system will only show a certain amount of files in the "No Company Open" window. To view the previous file(s) you can click Open or Restore Company File and choose the file location to open.

The following article provides even more info about restoring your file in QuickBooks Desktop.

With this info you'll be able to add a fifth file and view the others. Please feel free to reach back out in the comments below if you have any other questions.
