Migrating from Desktop to Online - downgrading

I've recently joined the board of a nonprofit that uses Quickbooks Desktop Enterprise Accountant 2018 to manage their books (I believe it was gifted to them at some point). We are looking to migrate to Quickbooks Online. I realize it would result in a loss of features, but it is possible to migrate from Enterprise Accountant to QBO, correct?

I can share some information about migrating from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO), @info1449.

 

Yes, you're right! You can migrate from QBDT Enterprise to QBO. However, please take note of the following information before moving to QBO:

 

  • After signing up for QBO, you have 60 days to move a company file.
  • If you've previously set up payroll in QBO, move your lists instead of your company file.
  • Because of feature limitations, some of your lists and reports will not be converted.

 

After creating a QBO account, follow the steps outlined in the following article to import or migrate your company file: Move your QuickBooks Desktop file to QuickBooks Online. It contains tutorials that will walk you through the steps visually.

Just to clarify. Why do you consider migrating to QB Online? You can still use your QBD 2018 Enterprise and setup a private cloud solution if required. Any other concerns?

As a nonprofit we can get a significant discount on QBO. A cloud solution for QB Enterprise costs significantly more than we are able to spend at this time. And we don't really use all the features that Enterprise has - we've only been using it because it was donated to us.

Yes, you are correct. You can get a special price to use QBO Plus or Advanced for Non Profit. Install the trial version for QBD 2022 to upgrade your file and migrate to QBO. Open the your file on QBD, hit f2 key, and make sure your Total Targets < 350K prior to migrating it. Otherwise, run the Condense Data utility to lower your file size or purchase a 3rd party service to migrate your historical data.

Let me help migrate your date from  QuickBooks Desktop (QBDT) to QuickBooks Online (QBO), mdightman.

 

You'll want to review the whole process of converting files from QBDT to QBO. You can have this article handy for your reference: Move your QuickBooks Desktop file to QuickBooks Online.

 

For your payroll data, most of it will not transfer to QBO.O. Paychecks created from QBDT will be converted as regular checks. There will be a lump sum import of the current year's paycheck information and may need to enter a prior payroll for the past year-to-date payroll info for each employee.

I've got you the steps on how to enter previous payroll. If there are no paychecks created yet, here's how to edit prior payrolls:

  1. Go back to Payroll and select Finish adding your team.
  2. Select the employee.
  3. Scroll down and select Enter [current year] prior pay details.

If you're still unable to migrate the data from QB Accountant Desktop 2022 to QBO, you'll need help from our QuickBooks Care Team. They can open your account and help add the historical paychecks for you.

 

Here's how:

  1. Go to Help.
  2. Select QuickBooks Desktop Help.
  3. Click Contact Us.
  4. Hit Search for something else.
  5. Enter Watermark on 941 Form in the Tell us more about your question: field.
  6. Click Start a Message.

Make sure of the limitations when you migrate them. You have to migrate some data manually (e.g Payroll). Another option, you can purchase a 3rd party conversion service.
