My bookkeeper uses qb desktop pro 2021. I use qb 2020 desktop Mac. I'm not qb literate.

The bookkeeper says I need to use qb online for me to read her files. Is this my only or best option?

Cleanest way would be to run Boot Camp or Parallels on your Mac and run the Windows version of QBs.

This way you can stay with QBDT and just send her an Accountant Copy or a copy of the real file if you do not have to be working in QBs while she's reviewing the files. 

 

NO REASON to go to QBO and I'd suggest against it if you're happy with QBDT. 

Note: QBDT is going to a subscription, but then you'd have to pay that with QBO anyway.  I think it's a dumb idea, but MS, Adobe and many others have moved in that direction.

 

And if you go to see your Accountant on occasion, I used to go with my notebook and give the Accountant my file on a USB drive.  They'd look it over as we discussed the quarter and then they'd give me back the file if they made any changes.  I'd open it up right there just to make sure there were no issues and we were then both in sync with the info.  At the Year End, there were a lot less questions.

You don't need your bookkeeper to access your file in real time, correct?

Which MacOS do you have? You can consider upgrading to QB Desktop 2021 for Mac and you will send your backup file to your bookkeeper to let her opening it on PC.

Thanks for your ideas. I can run boot camp on my computer. I'd then need to buy QBDT Windows 2022 Pro +(which is a subscription). What happens then? I export my files to her and after she enters transactions exports it to me? At that point we are completely synced?

I'll share some information about reading your company files in QuickBooks for Windows. When you run boot camp, you're able to switch from Mac OS to another OS promptly.

 

That said, there's no need for you to buy the QuickBooks Desktop for Windows. From there, you can create or send your data file to your accountant and vice versa. You can reach out to your I.T guy for more information when running Boot Camp or Parallels.

Probably a lot of different ways to do it, but first we need to confirm that your Accountant has other versions of QBs besides the QBDT2021 you mentioned.  Most Accountants I know have multiple versions for clients that have different versions.  If she has QB2020, you might log into your Intuit account and see if you can download the Windows version for the 2020 license you have.  If you can, you're all set.

 

If she does not have 2020 or you cannot download the Windows version, then your best option is probably to buy QB2021 and then keep in sync with whatever version your Accountant is using going forward. 

 

On the Accountant Copy, yes, you can continue to work.  You cannot go back in time prior to the Accountant's Copy and make changes, but you can look things up.  When your Accountant gets done make her changes, they will change only the things prior to the time/date you made the Acct Copy.  Any work you've done after that will stay the same.  Not on the Mac, it does not have Accountant Copy, so if you send a Backup, you need to wait until she send you back the corrected file or sends you a list of entries to make those adjustments.

 

That's why my process is to set up a time with the Accountant.  Used to go to the office, now it's a Zoom or sometimes a Desktop Share.  Either way, we look at the file and make the changes needed.  In the early days the old Accountant had done things that didn't make sense to me or to my (then) new Accountant.  So they'd give me some marching orders and I'd go make changes as I had time.  Then we'd get together and review.  Now the changes are more things on the edge like are we depreciating X or is it small enough to just list as an Expense.  Little things like that.

Thank you for your response. I can run Boot Camp but I would need to install a copy of windows as well as a copy of QB for windows according to my IT guy. So, I don't see why as you say there is no need to buy a copy of QB for windows. Without a QB for windows there is nothing to run.

Thank you for your reply. My bookkeeper is able to run QBDT windows 2021 and 2022. I did try to log in to see if my license would permit me to get a QBDT 2020 for Windows but was unable to make any headway. 

 

I solved the problem by throwing money at the issue. I bought QBonline. I don't think that QB makes things very easy for the users and am disappointed.

You can still cancel your QBO account and purchase the one time license for QBD 2021 Pro.
