Online Subscription - Transfering Data from an Old to New

Good Morning,

 

There is an online subscription managed by an accountant but the data is owned by the company. The accountant is no longer available and the company can not change the primary admin (accountant). So it's been decided to get a new subscription. How can we transfer the data from the current subscription to a new one? what is the process?

I'd be happy to show you the step-by-step process of transferring your company data from your old QuickBooks Online (QBO) account to the new one. 

 

You can export your lists and other data from the old account to the new one. Here's how:

  1. Log in to your old QBO subscription.
  2. Click the Gear icon at the top.
  3. Select Export data.
  4. Toggle the data you want to export to On
  5. Click the Export to Excel button.

 

After that, a .ZIP file will be downloaded containing the exported data. For more detailed steps, see this article: Export reports, lists, and other data from QuickBooks Online.

 

Once the file is ready, you can now start importing them to the new QBO account by following the steps below:

  1. Log in to your new QBO subscription.
  2. Click the Gear icon at the top.
  3. Choose Import data.
  4. Select the type of data that you'd like to import.
  5. Click Browse to select a file to be imported.
  6. Follow the onscreen instructions.

There is not a #5 Export to Excel on my 2022 QuickBooks.  Also, Will the new QuickBooks have all past history of the company.  The accountant has been working for four years. So we need four years worth of company history.

I can help you figure out why you don't have the Export to Excel option, Elisa.

 

You'll have to ensure you're logged in to your account as the Primary Admin. 

 

Also, the missing option in QuickBooks Online can be caused by too many cache files in your browser. You can perform some basic troubleshooting steps to check if it fixes the issue. 

 

You can use these shortcut keys depending on the browser you're using:

 

• Google Chrome: press Ctrl + Shift + N 

• Mozilla Firefox: press Ctrl + Shift + P

• Safari: press Command + Shift + N

 

If it works, go back to your regular browser and clear its cache. This eliminates excessive browsing history and starts the system fresh. Otherwise, switch or use a different browser.

 

Once done, you can start exporting your data. 

 

  1. Go to the Gear icon and select Export data.
  2. In the Reports tab, select the date range and choose the report you want to export.
  3. Click Export to Excel.
  4. Then, go to the Lists tab and select CustomersEmployees, and Suppliers, then click Export to Excel.

 

Next, import it to your new QBO account.

 

  1. Click the Gear icon, then select Import data.
  2. Select the data you want to import.
  3. Hit the Browser button and choose the file you export.
  4. Click Next, then follow the onscreen instruction.

 

Another option is to look for a third-party application that lets you do the tasks. Check our App store to find one that suits your business needs.

I'll share some information about moving lists from your old QuickBooks account to your new one.

 

Once you export the Account List report from your old QuickBooks account and import it to the new one, it'll transfer the A/R accounts.
