Open QB Desktop Backup file with earlier desktop version of QB

I need to send a backup from my desktop QB 23.0 Enterprise Solutions version to my bookkeeper with an earlier desktop QB version. Can I convert the backup to allow this to happen using the Restore File for Earlier QB Versions?

When dealing with QuickBooks Desktop files, compatibility between different versions can be confusing, @Deadeye1985. But don't worry I'm here to share what you need to know about converting and sharing backup files with someone using an earlier version.

 

Opening a QuickBooks Desktop backup file created in a more recent version (like QB 23.0 Enterprise Solutions) using an earlier rendition isn't possible, as it results in compatibility issues. Please know that QuickBooks doesn't natively support restoring data from a newer version to a lower. It should be higher than what you're currently using.

 

To work around this limitation, you need to upgrade to the latest version in QuickBooks to align with the version used to create the backup. After upgrading, proceed to the backup file and restore it in QBDT.

 

Here's how to create back up your company file manually in QBDT:

 

  1. In QuickBooks, navigate to the File menu and select Switch to Single-user Mode.
  2. Go to the File menu again, hover over Back up Company, and choose Create Local Backup.
  3. In the window that appears, select Local Backup and then click Next.
  4. Under the Local Backup Only section, click Browse to choose the location where you want to save your backup company file.
  5. Optionally, set the number of backup copies you wish to retain. Tip: You don't need to mark it on your calendar. Use the Online and Local Backup options to set backup reminders.
  6. A test will run to ensure your backup file is in good condition before saving.
  7. Once ready, click OK.
  8. Select Save it now and then click Next.

In addition, you can create a new company file and restore your backup to this file. This process enables you to keep a complete record of all historical data in a separate file, preventing clutter in your current working file.

 

Furthermore, to restore your company file in QBDT, here's how:

 

  1. Open QuickBooks.
  2. Choose the File menu, then Open or Restore Company...
  3. Restore the file based on its type: 
    Windows company file (.qbw)
  4. Pick Open a company file, then select Next.
  5. Open the appropriate folder, then choose the company file.
  6. Select Open, then enter the password.

No, that can't be done. QuickBooks company files can be upgraded, but never downgraded.
