QB Desktop 2019, Every Time it Prints, It asks to Save Changes When No Change Has Been made.....

Like the Title says.

After an invoice has been generated, saved, closed.  After reopening the invoice, and printed.  Then It will ask to "Recording Transaction: You have changed the transaction.  do you want to record your change?"

What changes have I made?  Need to be printed?  If that is the case, where do i remove the need to printed.?  Please advise, thank you!

@Erss  Well, I looked around, and this thread seemed relevant:

https://quickbooks.intuit.com/learn-support/en-us/other-questions/how-can-i-change-the-default-on-th...

The gist is that, once you unmark the 'To Print' box and create a new invoice under those conditions, it stays unmarked until you deliberately re-mark the 'To Print' box and create another invoice.

In short, the default seems to be whatever it was on the last invoice you saved.

If that doesn't do the trick, I got nothing. It worked that way on my end when I tested it.

@Erss  The 'Print Later' option is at the top middle of the Invoice window, as far as that goes.

When you print an invoice, it automatically unchecks that box, so that is probably the change that is prompting the 'Save Changes' dialogue.

Unless you memorize an invoice template that does not have that box checked and use that for all your invoices going forward, I don't think there is any way to stop a new invoice from defaulting to 'To Print'.

Hi there, @Erss.

Since you're trying to open your invoice again to print it, QuickBooks Desktop will prompt you to save what's changed. Let me provide you with more information about this.

The prompt you see is like a notice message to ensure you're making changes to the invoice. For example, when you accidentally make changes to the invoice, this prompt will help you avoid accidental modifications to the invoice. If you have checked the Print Later option, this prompt will appear to ensure you save the change when you close the invoice window. However, if you print the invoice while the Print Later is checked, it will automatically uncheck the Print Later, which will trigger the prompt to show. This will also remove the transaction from the Print Later list.

To see the list of transactions with Print Later enabled, follow these steps:

  1. On the top menu, head to File.
  2. Select Print Forms.
  3. Choose Invoice or any transaction you prefer.

By reading this list, you'll see which transactions aren't printed yet or have been printed already but are still marked as Print Later.

Moreover, you can also consider checking out this article for your future guide: Fix printing issues in QuickBooks Desktop.

If you need help with emailing your invoices aside from printing them, feel free to leave a reply. I'd gladly assist you with anything.

Thanks to both of you.

The other file we have, doesn't do that..... reopen then print, it doesn't ask us to save... There must be a way to make it not ask to save after printing?

@Erss  If your other file is doing that, then yes, there is something causing it to not automatically mark the invoice to print on creation.

Otherwise, it absolutely would be asking to save; unchecking that box takes it out of the To Print list, and that's a significant change.

Yes, where is the default setting for this to not print after?
