QBD file - disallow open Company File on two different PCs from a shared drive?

I'm using Desktop Pro 2021.

I have some contractors who help me with data entry, etc. I want to put my Company Files in a shared folder on Google Drive for easy access. When testing it out, though, I was able to open the same Company File on two different PCs.

I only have one license, and the login is just "Admin." I thought QB wouldn't allow the same user to be logged into a file twice at the same time - glad I tested it I guess! Is there a way to disallow this?

Hi @Hally! I'm here to help you with disallowing multiple access to your files in QuickBooks Desktop (QBDT).

QBDT's multi-user mode feature allows multiple users to access and work on the same company file at the same time. This enhances collaboration and productivity within your organization. However, if you want to restrict multiple access to your files, you can follow these steps to turn it off:

  1. At the top menu bar, go to File.
  2. Select Utilities.
  3. Click Stop Hosting Multi-User Access.
  4. Follow any on-screen instructions, if there are any.

Moreover, you can also create and manage users in QBDT. This feature allows you to control who has access to your files and what level of access each user has.

If you have any further questions about managing your access in QBDT, feel free to ask me. I'm here to help you sort things out. Have a great day!
