Quantity Disappearing when converting Estimate to Invoice

When converting an Estimate to an Invoice the Number in the Quantity line is disappearing. The Rate and Total Amount stays the same, but then anytime I make a change to the description the quantity resets to zero. HELP!

Quantity Disappearing when converting Estimate to Invoice

Thanks for reaching out regarding your concern with converting an estimate to an invoice, @emmavank. Your satisfaction is our top priority, and let's work together to resolve the disappearance of Quantity.

I've replicated the scenario and encountered no difficulties converting an estimate to an invoice, specifically in the quantity field. In your case, you might be experiencing some browser-related issues.

To rectify this, log into your QuickBooks Online account using an incognito window. You can also use other supported browsers to learn what browsers need for the best experience when using QuickBooks. You can use these shortcut keys to access a private window:

  • Mozilla Firefox: CTRL + Shift + P
  • Microsoft Edge: CTRL + Shift + N
  • Google Chrome: CTRL + Shift + N
  • Safari: Command + Shift + N

After signing in, please convert the estimate to an invoice again and see if the issue remains. If it works, go back to your regular browser and clear the cache. The system occasionally behaves strangely when the browser frequently accesses pages. It could be due to corrupted cache files in your browser.

It is still doing the same thing - I also noticed even If I save and Close out of the estimate - the Number in the Quantity Line Disappears. The Rate and Amount still are correct - but the number in the Quantity Disappears

Quantity Disappearing when converting Estimate to Invoice

I am having the same issue with just normal invoicing. The issue is very challenging as it doesnt happen all the time. I've neem using quickbooks online since July of this year. the issue started around mid to end of august.

It seems to pick certain part numbers to have the issue. I've tried invoicing a different customer the same number and the quantity will dissapear.

The technical people at Quickbooks are not helpful at all. I've submitted two technical calls and they have assured they are making it a priority. Nothing back from them at all.

I'm searching all over the web for a solution to the problem Personally I think they have a known programming issue that they cant fix.

Same problem here. What is the solution Intuit?

I swear, I now spend more downtime trying to figure out what what previously worked, no longer does. I cannot even send some invoices out now because QTY value disappears, despite Rate and Amount value remaining.

I can't see using this garbage app much longer.

Nothing more than a copy/paste canned response, ignoring the issue that Intuit has once again dropped the ball and mucked things up with QBO invoicing.

Quantity Disappearing when converting Estimate to Invoice

This issue has persisted since at least August of this year 2023. I had figured out a workaround by converting the new Estimate template back to the old Estimate template, entering the Quantity amount there, then converting back to the new Estimate template and the Quantity amount would then display on the new template correctly moving forward. However, as of today (12/14/23), there is no longer an option to use the old Estimate template, and therefore there currently appears to be NO way to fix this (yes, I've cleared cache/cookies and to no avail).

This morning I had to manually write in the Quantity amount on PDFs being sent out to customers. None of the "tips" that Intuit has provided in this thread have not worked. This is ridiculous. If Intuit does not fix this by January 1st 2024, or at the very least restore the old Estimate function to allow the workaround mentioned above, then we will be CANCELING our subscription. Period.

I understand how this issue greatly impacts your business, Bar.

There's an ongoing issue about the quantity and rate not showing on invoices. Our product engineers are working to get this fixed. As a workaround, you can make the product or service item inactive. Then, recreate them as new to resolve the issue.

In the meantime, I suggest reaching out to our support team so you will added to the list of the affected users. This way, you'll be notified once the issue is fixed. Here's how to reach them:

Furthermore more. learn how you can record the payment to connect it to the invoice to balance your account. I've added this article for more information: Record Invoice Payments In QuickBooks Online.

Quantity Disappearing when converting Estimate to Invoice

I eventually figured this out on my own. I have to go in and make a service/product inactive and then reactivate and it seems to work. There is no rhyme or reason as to why some services/products are affected and others are not. An incredible waste of time for a small business owner is who paying for this service (along with a QBO bookkeeper).

The fact that things worked fine and Intuit mucked it up (yet again) is true maddening.

It's truly maddening how Intuit seems to regularly break invoicing after a period of time of no problems. And when posting here, it's the scripted copy/paste response. Online chat is no better (I tried twice only to have the Intuit rep drop the chat w/out explanation).

Like you, I am exploring other options but Intuit, as demonstrated by the ongoing plague of issues, could care less.

Quantity Disappearing when converting Estimate to Invoice

I've been having the same issue as well. in my case, first it was an issue with the "new layout" in quickbooks online. after a couple of hours the tech guy told me to switch back to "old layout" and it worked. His conclusion was that the new layout had bugs that still needed to be worked out. After a couple of months, it automatically switched to new layout again. same issue started happening, quantity line disappears when I send the invoice to the client, or print it out. Called again since the "switch to old layout" button disappeared, this time the tech guy could not tell me a solution or what was the problem. He said he was going to "look into it" and never heard a response. Called again and explained what was the issue. After talking to 3 different guys the last one told me I needed to "upgrade" to the next quick books online tier!. I told him why would I do that? you telling me the most basic tasks for an invoice can be done in the basic quickbooks? he said yes, you have to "upgrade" basically pay more for the issue to be resolved. As other people here, I'm also looking for a different invoicing software.
