Quickbooks Enterprise 2024 Asking for Windows Admin Credentials

I currently have an RDS server deployed running Windows Server 2022 with QuickBooks Enterprise 2024 installed. I have about 10 users who RDP into the server daily to use QuickBooks. We have about 10 different company files stored on a local drive on the server. Everything has been working great up until recently, when users began notifying me of a message that pops up when opening the QuickBooks program prompting for Windows Administrator credentials. If they hit cancel, it does not allow them to open any company files. I need to either remote in and provide the admin credentials, or restart the server. Both of those options seems to 'fix' it temporarily for about a week before the message comes back. It gets tedious having to do that frequently and halts our accounting department until I fix it, and I am not always near a computer to fix it remotely if I'm not on site. I have scoured other forums and tried many different solutions that worked for other people but none have worked for me. I have changed the 'QuickBooksDB34' service to run as a local service which breaks QuickBooks even more. I have checked folder permissions and verified that the QB user had full control permissions on the folders where the company files are stored. All users have the correct permissions on the folders as well. I do not want to entertain making all my users administrators on the RDS server as that would be a security nightmare to manage. I have gone deep in the weeds and tried to create a batch file that restarts the service on user login but that too has failed. Any ideas or help would be greatly appreciated.

I appreciate the actions you've taken so far to resolve the error, DMD6. I've got steps so your users will not be prompted with a permission error when opening QuickBooks Desktop (QBDT).

 

The error messageThis action requires Windows administrator permissionsindicates that your current user account lacks the necessary privileges.

 

First off, ensure the access folder is in multi-user mode and that the correct Windows permissions are set. To view the summary of the restrictions configured for a user profile, click on the user and then select View User.

 

To verify the permission is configured correctly, follow these steps:

 

  1. Open the Windows Start menu and then open File Explorer.
  2. Right-click on the folder that contains the company file, then select Properties.
  3. In the Properties window, go to the Security tab and select Advanced.
  4. Choose QBDataServiceUserXX and click Edit.
  5. Set the following settings to Allowed:
    • Traverse Folder/Execute File
    • List Folder/Read Data
    • Read Attributes
    • Read Extended Attributes
    • Create Files/Write Data
    • Create Folders/Append Data
    • Write Attributes
    • Write Extended Attributes
    • Read Permissions

 

If your permission isn’t correctly set, follow the steps below:

 

  1. Right-click the folder that carries the company file.
  2. Go to Properties, then select Security and Edit.
  3. Choose QBDataServiceUserXX and then click Full Control.
  4. Press Allow.
  5. Click Apply, and then press the OK button.

Hello,

 

Thanks for the follow up. I have already made sure that the 'QBDataServiceUser34' had full control permissions on the folder where the company files are located. The problem still remains and it only happens every 3-5 days or so. The only way I can get it to work again is to logon with Windows Administrator credentials to clear the UAC prompt, restart the 'QuickBooksDB34' service (required Windows Admin credentials), or I have to reboot the server (any of these fixes it for only 3-5 days). Again, these are not ideal solutions as I am not always near a computer where I can help my users when they need it, and therefore, they are unable to use QuickBooks until I am able to login and perform one of the above listed "fixes". It is happening far too frequent and is becoming a nuisance to me and my QuickBooks users. Please let me know if you have additional ideas or troubleshooting steps. Thank you.

It's concerning when the issue has been recurring for an extended period, @DMD6. I'll point you in the right direction to resolve the error prompt received by your users in QuickBooks Desktop (QBDT).

 

Since the issue persists after performing the suggested troubleshooting, I recommend reaching out to our customer support team. This way, they can look into this further and walk you through the resolution. They can also initiate an investigation if need be.

 

To do that:

 

Go to the Help menu and click QuickBooks Help.
Select Contact Us.
Provide a brief description of your concern, and click Continue.
Log in to your Intuit account, select Continue, then Continue with my account.
Enter the single-use code you received in your email and hit Continue.
Choose between Chat with us or Have us call you.

Hello DMD6,

 

Where you able to resolve this issue?  I had the same thing happen and it turned out to be a problem with the shortcut being used to launch QuickBooks.

 

I had copied a shortcut from another computer to our RDS server and not realized that Windows "helpfully" turned the path into a UNC path back to the computer I had pulled the shortcut from.

 

Original shortcut Target: C:\Program Files\Intuit\QuickBooks Enterprise Solutions 23.0\QBWEnterpriseContractor.exe

 

After copy/pasting the shortcut, Windows had changed the Target to:

 

\\computername\c$\Program Files\Intuit\QuickBooks Enterprise Solutions 23.0\QBWEnterpriseContractor.exe

 

Launching that shortcut caused QB to give me the same prompt asking for Admin privileges.  After change the shortcut back to the correct local path of C:\Program Files\..... the Admin prompt went away.

Quickbooks Enterprise 2024 Asking for Windows Admin Credentials

Quickbooks support will not help you fix this. In fact, several years ago, they made it worse for us. I've had this issue for years, and yes it is a sever security concern. We have had all kinds of issues every year at this time, and here we go again with more, including this one (QB problems cost us hundreds of hours every year. It's so common for years now that the time expense talking to QB support and working though our many problems every year is a line item in our financial reports). This particular issue we resolved by keeping the QB machines in each their own DMZ with limited internet access, keeping an image of the system drives in case they get compromised and made the users administrators. Now these computers don't connect to the internal Corp network. They only work on files from flash drives, one at a time and the users sneaker-net them back to their internal Corp machine and copy them back to the server when done. This saves me about 100 hours each year fighting with QA Support agents who have no clue what they are doing (that's $20,000 for "Quickbook Support Costs"). The extra time the bookkeeper spends is actually negligible, about 15 minutes per file, and that gets billed. The QB customer assistance team made this issue worse a few years ago, which is why we now have our workstations in their own isolated DMZs, problem solved! So again, the solution to this issue is to 1- buy a cheap used office computer ($300). 2- Install all your QBs on it. 3- Create a DMZ on your network for each computer sitting off the edge of your gateway. 4- Make a disk image in case the computer get compromised. 5- Make the users administrators on those machines. 5- When they need to work on QB 20-21-22-23-24 Desktop files, they copy the file (folder) from the server to their main local workstation on the Corp network, mark the client folder as "Checked out" on the server, copy the folder onto a flash drive, swivel their chair, plug it into the DMZ machine and when done scan the flash drive for issues, swivel back, copy the folder back to their workstation (which gets scanned again), upload to the server and mark the folder "Checked in". Problem solved, saves time and money, and the aggravation of working with the QB support team which usually makes matters worse.

Thanks for the feedback. Thats really unfortunate the lengths you have gone to get things to work. Unfortunately for me, I have about 12 people that share the same company files in multi-user mode so it would be very difficult for me to implement a similar solution. Thanks for posting!
