Quickbooks Online Estimate Formatting

Hello,

 

I am having a small issue with estimates sent to clients. I have created a custom form style estimate template which functions well as a "lump sum" estimate, and shows only the total cost without showing any line item costs. This format holds correctly in the attached PDF estimate sent as well as the email text summary. However, if the "Review and Pay" button found in the email is clicked the landing page it directs you to has another "View Estimate" button on the right hand side. Clicking this "View Estimate" button brings up a version of the estimate where all line item costs are visible along with the total. I would like to eliminate the line item costs on this version and show only the total. Any suggestions?

Hi there, TBuild. 

 

Currently, the option to remove the line items in when clicking the View Estimate isn't available in QuickBooks Online. I can see the importance of having this functionality incorporated into our system. In this case, I recommend sending a product suggestion to our engineering team so they can add this feature in the upcoming updates. To send one, here's how:

 

  1. Select the Gear icon, then choose Feedback.
  2. Enter your comments or product suggestions
  3. Select Next to submit.

Thank you for following up, I will look into submitting that recommendation. Is it possible to disable/remove the "Review and Pay" button, leaving only the attached PDF version of the estimate?

I understand that you are looking for a way to remove the Review and Pay button option on estimates in QuickBooks Online (QBO), @TBuild. Rest assured that I have an alternative solution that can work for you.


Before anything else, please know that there is no direct way to turn off this option in QBO. However, you can choose to use and create a different template when sending your estimates instead of using the default one to remove that option.

 

Here's how:

 

  1.  Go to Sales and select Estimates.
  2. Choose an estimate or customer within that estimate and click on Edit.
  3. Click the Manage icon and select the Design dropdown.
  4. On the Other templates (view only) section, choose the template you have created.
  5. Proceed to Review and send your estimates.
  6. Hit Send estimate.


Please see the attached image below for your visual reference.

 

By following these steps, your customers won't see the Review and Pay button option from your estimates when they receive them via email. Instead, they'll see the Print and save option.

I appreciate your insight. This seems to be getting me one step closer, but I still have some issues. After creating a custom estimate template and pressing "Review and Send" using that template, the email preview does indeed show a "Print and Save" button. However, when the estimate is actually emailed the button that is included in the email is still "Review and Pay". Any idea what could be causing this? Thank you.

After experimenting with some additional options I have discovered that when preparing a new estimate, under the dropdown menu Discounts and Fees, all the accepted payment options must be toggled off in order for the button in the email to display "Print and Save". Unfortunately, this does not resolve the root problem of this thread. The primary issue is that if the customer receiving the estimate clicks on the button in the email, and then selects "View Estimate" from the menu on the right hand side, they are shown a different version of the estimate than the PDF included as an attachment with the email. In my case this different version shows individual line item costs rather than ONLY a single lump sum total such as displayed in the PDF estimate attached to the email. I am looking for a way to reconcile this difference so that both the PDF estimate attached to the email and the PDF shown when the client selects "View Estimate" are the same, and specifically so that neither shows any costs for individual line items.

1. Click the Help (?) button.
2. Select either tab to get started:
  - Assistant: Get quick, personalized answers. Select a suggested option, or type a question or topic you need help with. If you decide you need further help, you can still Talk to a human.
  - Search: Search the QuickBooks Online knowledge base directly, or select Contact Us and choose a way to connect with us:
    a. Start a chat with a support expert.
