  Let me please just put my five cents. I am using QuickBooks Online for more than a year and a half for now and there were no issues with subtotalling without me wants it. So, I believe it might be that the software you have mentioned in your post indeed has some impact on this matter.

  You can also try using some third-party apps to have your invoices created in a fast and reliable method. You can find some such apps on Intuit App Store. I personally am fond of using Business Importer app. Any large csv or excel files will be correctly reflected in your QuickBooks - very convenient.

I have question. I hate the straightjacket that appears to be QBO invoice templates. Among other things, there's no place for PO Number or EIN. This could easily be solved with an "Other Text Line" option in the relevant parts of the template. And while it's nice that they let you edit the column labels and widths for the billing items, the constraints there are unrealistic. As a single member LLC, the minimum column width of 16 for the extended price is comical. Who am I going to bill for $1bn? But I could sure use the extra width in the item description, which seems to max out at 37 characters. Is desktop quickbooks better? Or should I just hand-roll my invoices and keep my QBO subscription?

QB Desktop provides a Layout Designer tool to give us more freedom to design our invoices for multi purpose.

You can also still purchase a one-time license for the QB Desktop 2021 US Pro edition for a single user. Utilize the trial license to make sure it meets your needs.

I've come to share some insights about customizing invoice templates in QuickBooks Online (QBO).

First off, you'll want to know that QBO and QuickBooks Desktop have different functionalities, and that QuickBooks Desktop has more options for customizing templates, such as the layout designer.

On the other hand, QBO allows you to add custom fields to your sales templates. However, this option is only available in the Advanced version of QBO. If you have this version, you can add a custom field for PO number or EIN to your invoice templates. If you don't, you can consider upgrading your subscription.

In addition, QuickBooks set minimum and maximum column widths and max characters to ensure the text won't overlap the table. However, the idea to modify the column widths to your own choices and increase the maximum characters is great. With that, I encourage submitting feedback directly to our product engineers. This way, they'll add your suggestion in the future update. To send feedback, you can follow the steps shared by my peer KurtKyle_M above.

You may want to view all your sales transactions in the future. You can go to the Sales menu and select All Sales. This will gives you a great view of the status of sales transactions, open invoices, and paid invoices.
