Add Custom Data Figure to Sales By Item Summary/Detail Report

We are a food manufacturer trying to find a way to use Quickbooks Manufacturing & Wholesale 18.0 to generate a lbs sold report. Right now all I can see is a report with cases of product sold and/or the total dollar amount of sales in the given time period. I'd like to add a column to the report that includes the net weight of the item. That way when I export a sales report to Excel I could plug in a multiplication algorithm to calculate total lbs sold. Any feedback would be enormously helpful!

Add Custom Data Figure to Sales By Item Summary/Detail Report

I'm glad to see you here in the Community. I can help you add a column on the report for the net weight of the item.

 

First, you have to add a custom field on the item:

  1. Click Lists.
  2. Choose Item Lists.
  3. Double-click the item.
  4. Click Custom Fields.
  5. Click Define Fields.
  6. Enter Net Weight and put a check mark on the Use column.
  7. Click OK to save changes.
  8. Enter the Net Weight of the item.
  9. Click OK.

 

Next, you will have to customize the invoice template to have a Net Weight field:

  1. Click Customer.
  2. Choose Create Invoice.
  3. Click the Customize Data Layout.
  4. Go to the Columns tab.
  5. Put a check mark on the Net Weight Screen and Print.
  6. Click OK.
  7. Once you select the item, the Net Weight column will automatically reflect the value.
  8. Click Save & Close.

Lastly, run and customize the Sales by Item Detail report:

  1. Click Customize Report.
  2. Choose the Display tab.
  3. On the Columns field, select Net Weight.
  4. Click OK.
  5. You can see the Net Weight column on the report.
  6. You can click the Excel button to export the report.

Thank you very much for this! This is helpful, but having to sum up the Sales by Item Detail Report is still time consuming. Is there any means by which a custom column can be added to the Sales by Item Summary Report?

With QuickBooks Desktop, you have the ability to customize your Sales by Item Summary report to include the specific information you need.

 

The Sales by Item Summary Report shows the following:

  • How many items were sold?
  • What is total sales?
  • Which among your list of items or product brings in most or least income?

 

If I may ask, did you add Net Weight as one of the columns in your Sales form (Invoice, estimate or sales receipt)? If yes, was it added as an additional column?

 

Here's how to customize reports:

  1. Go to Reports.
  2. Choose Reports Center.
  3. Click Sales.
  4. Look for Sales by Item Summary report.
  5. Click the green arrow to run report.
  6. Click Customize  Report.
  7. Choose Filters tab.
  8. Add the specific column you want to add.
  9. Click Ok.

Add Custom Data Figure to Sales By Item Summary/Detail Report

By adding a filter with a Net Weight specified it will only let me see items that have that Net Weight. The Net Weight of each item is not displayed even in this custom report. I'd like a way to run the Sales by Item Summary Report and have the Net Weight of each item listed appear in its own column. This would let me export the report to Excel, and multiply the quantity sold times the net weight of each item to calculate weight sold.

I forgot to note that there is now a Net Weight field on both Sales Orders and Invoices. The Net Weight of each item we produce now appears in the Sales By Item Detail Report, but not in the Sales by Item Summary Report. As you can imagine, trying to calculate the weight sold to each customer with a group of items is more difficult if limited to the Sales By Item Detail Report as it is hundreds of pages long. Being able to sum up the rows in a Sales By Item Summary Report would be much less time consuming! Thanks again.

Since you've already followed the steps on my initial post and the Net Weight field still isn't reflecting on the customized report, I'd recommend calling our phone support.

Just checking in here...  I read the whole post, but the answers that the Moderator were giving were for the Item by sales Detail report. 

What we need is the Weight to be added to the Item by sales Summary Report instead...  As the Summary report does not give you the option of Customizing in the Display tab...

 

Any help on this?

Hello All,

 

Just checking in here.  I have read the whole post, and am also looking for the answer here...

 

All the answers the Moderator work great on the Sales by Item Detail report.

 

But what we need is the Weight to show up on the Sales by item Summary Report...

 

Is there a way for that?  I have added the Custom Field, and clicked 'Use'. I have added it to the Invoice template.  I can pull up the Custom Field on the report, int he Filter tab, not the Display tab, obviously, as the Display tab, there is no way to add anything to the report.  The Net Weight Field will come up, but then it asks me to select which value I would like to pull... We have several different weights, and I want it to pull all of them.

 

I have tried entering the weights separated by a semi colon, but the report goes blank.  I tried entering just one of the weights, and the report still went blank.

 

Any thought?

I appreciate you trying my recommendations above, @orderdesk.

 

You won't be able to add and use Weight as a filter option since its setup was for the custom field. The option to group or add the column is unavailable in the Summary report.


You can use the Detail report for now. To get the total amounts, export it to Excel and do the totals there. But I get your point and its useful effects, and I'm sending your feedback to our developers on your behalf.

When custom fields are entered, is there a way to set it automatically calculate?  For example:  I put a custom field for Net Weight as 105 lbs.... Then on the sales order I put that item in with a quantity of 5.... it should calculate to a total net weight of 525 lbs.
