Batch Import Customer Account Numbers

I need a way to export QB customer and invoice data to a spreadsheet with a numeric customer reference. When I came across the Account No. field in the Edit Customer/Payment Info form, I thought maybe that was the answer. Is there a way to import many customer account numbers and apply them to current customers and their invoices? or do I need to go in and change them all one by one in the above form? Also, is there integrity built in to not allow duplicate account numbers for customers?

There isn't a way to import a change to a customer without updating the entire customer record - which will then be replaced by what you import.

 

There also isn't any error checking on the field to prevent duplicate account numbers.

 

However, you can export your customer list to an IIF file, edit it in Excel, and then import it again. I believe the customer number is exported into the first of two NOTE fields on the customer record.  I recommend trying this with a small number of customers first, making sure that everything you care about is preserved when the IIF file version of the customer record replaces the existing one as you import.

 

To do this, export the customer list to an IIF file, which is a a tab-delimited file, and then open it in Excel.  Remove all but a few customer records and then change the NOTE value, save the file, and import it.  Start at File | Utilities | Export | Lists to IIF files...

Thank you so much for responding. What I really want is a primary key that can be in reports. From what you said and my research, the Account No is reportable, but doesn't act as a primary key. The refnum in the iif file appears to be the QB primary key, but isn't reportable, which is what I need. So I think I'm in a pickle. Now I'm researching software that connects directly to QB.

We've got third-party software applications for you to choose that work best for your business needs. I may be unable to provide you with the exact name of the app you may need, I can at least list them for you.

 

  1. Go to Help.
  2. Select App Center:Find More Business Solutions.
  3. Enter a word describing the app of your need in the Search address.
  4. Choose an app you want to integrate and check for reviews.
  5. Click Learn More.
