We cannot directly modify downloaded bank transactions in QuickBooks Online (QBO), @aleida57. However, there's a proper method to correct this, and I'd be glad to share it with you to ensure accurate financial records.
Before anything else, may I know your specific bank account that is connected to QuickBooks? Any additional info would be much appreciated as this will help me provide the solution that aligns with your needs.
Meanwhile, please know that QuickBooks relies on the data shared by your bank. If the transactions are downloaded directly from the bank, the option to change them is unavailable within QuickBooks.
However, we can correct them by manually importing bank transactions from your bank with the correct mapping of Credit and Debit. This will ensure that the bank transactions you import will be accurate.
Before we proceed with the importing process, let's exclude and delete those incorrect bank transactions first. This will help avoid duplicate transactions in QuickBooks:
- Sign in to your QBO account.
- Go to the Transactions tab and select Bank Transactions.
- Select the incorrect bank transactions in the For review, then click on Exclude.
- Go to the Excluded tab, as those excluded transactions will go there.
- In the Excluded tab, select those incorrect transactions, then click Delete.
Once done, we can move forward by importing bank transactions from your bank via a CSV file:
- Sign in to your bank or credit card's website.
- Please adhere to your bank's guidelines on downloading CSV files of your transactions to your computer.
- Double-check the date for the download. Ensure to select those needed transactions.
- Save the CSV file somewhere you can easily find.
Next, carefully review the file you have downloaded. Make sure the file is in the correct format before uploading it to QuickBooks. You can use the 4-column format to map the Credit and Debit accurately.
For more info about reviewing the file format and proceeding with Steps 4 and 5, kindly refer to this resource: Manually upload transactions into QBO.
Furthermore, here's an article you can refer to when reconciling an account in QuickBooks. This will help ensure that your bank and credit card statements consistently align with your QuickBooks account: Reconcile an account in QBO.
