Cannot Open Outlook from QB

Technical problem:

We have Quickbooks on a terminal server and several users are reporting that clicking the "email" button when viewing a purchase order or any operation that has the "email" button, a small Outlook authentication window appears.  When they supply their credentials (we've tried local domain and Azure side email address and password, verified correct), the box quickly reappears as if the credentials were incorrect.  The box will close after the second attempt and a Quickbooks error message appears stating it could not log into Outlook.

One user states that the dialog for the credentials looks different.  Right now the prompt says "Outlook MAPI" and the user claims it used to not say the "MAPI" part.  I also have not seen credentials prompts say "MAPI."  It's not that weird as it is using the MAPI protocol, but worth mentioning if anyone has ever seen the same thing.

We reinstalled Office and Quickbooks, both are up-to-date.

There are no logos on invoices/POs (suggested fix by a community member)

Any ideas?

Hey there, @MHSperos

It's great to see a new face here in the Community.

With the details you gave, we're unable to provide you with some troubleshooting steps due to you having technical issues within the server.

Here's some information that could help you understand why that is: Support limitation for Windows Terminal Server

I recommend getting in touch with your IT to see what actions they can do on their end to assist you and get this taken care of.

I'm only a post away if you have any other questions. Keep us updated on how the conversation goes with your IT. Have a splendid day!

Cannot Open Outlook from QB

Hello, thanks.  I actually am the third party IT searching for a solution on behalf of my customer.  From our troubleshooting thus far, it would appear to be a Quickbooks application issue.  Having already reinstalled QB and the office suite, restarting, etc, we're getting close to desperate so that's why I've posted in the community.  I'm hoping there may be another IT professional who has seen something similar just scrolling by.

I did get in touch with Intuit support and they've given us some things to check after business hours.

Cannot Open Outlook from QB

We can perform some troubleshooting to overcome issues that prevent you from opening Outlook from QuickBooks Desktop, atuckerru. I'm here to walk you through the detailed process.

The error you receive can be associated with your settings and preferences. We can isolate this matter by modifying your admin privileges, ensuring QuickBooks isn't set to automatically run as an administrator.

Here's how:

  1. Close QuickBooks Desktop.
  2. Open the Windows Start menu, then enter QuickBooks in the search field.
  3. Right-click the QuickBooks icon and select Open file location.
  4. In the folder, right-click the QuickBooks.exe file and pick Properties.
  5. Choose the Compatibility tab, then uncheck the Run this program as Administrator option. Select Show Settings for All Users if the option is greyed out.
  6. Click Apply, then OK.

After that, you can send a test email or transaction to your QuickBooks Desktop company. If the issue persists, proceed to the remaining steps starting from Step 2 in this article: How to fix "Error: QuickBooks is unable to send your email to Outlook."

Moreover, you'll want to browse this material for guidance when you're ready to receive inventory, whether with or without a bill: Receive inventory.

Kindly reply to this thread if you require additional assistance sending transactions and reports via email in QuickBooks Desktop. We're here to provide further assistance with any questions you have.
